Ask, and B-Viz makes it
Each example began as one question, asked in Ask B on the site or in the Claude app.
B-Viz answered from its own facts and made the file with its deck and document tools, in the B-Viz brand: every figure from the facts, every chart from its own data, every slide naming its source. The chats are the real answers and the files are the ones the tools made; nothing here is a mock-up.
They span finance and the board, product usage, retention and a single account: a board deck, the CRM against what is invoiced, usage against what customers pay for, why customers left, a renewal proposal and a QBR.

Chart seats in use across customers, lowest first, and tell me who is under-using what they pay for
The chat
Demo: BG-Demo, a fictional company
Asked in Ask B: the answer as Ask B gave it
- Chart seats in use across customers, lowest first, and tell me who is under-using what they pay for
Steps Checking the money facts (usage_headroom) → Drawing a chart (Seat use is lowest at Brightcombe, Ardc…) → Drawing a chart (Seat use is lowest at Brightcombe, Ardc…)
The chart below shows the 15 lowest of 91 customers, ranked by share of licensed seats in active use in September 2026. It is the percentage rather than the raw seat count, so a small account isn't ranked low just for being small. The figures come from the current order forms and are as at Fri 9 Oct 2026.
Clearly under-using what they pay for:
- Brightcombe Veterinary (starter): 1 of 15 seats in use (7%), and no connectors set up out of 4.
- Ardcarne Life Assurance (enterprise): 18 of 150 seats (12%), and 0 of 20 connectors. This is the largest gap, with 132 seats unused.
- Hollins Tarrant (starter): 3 of 15 seats (20%), and 2 of 4 connectors.
- Brackwell Freight Ltd (growth): 14 of 40 seats (35%). It is using 7 of 8 connectors, so it is wired in but lightly adopted.
- Fenmoor Specialty Underwriting (enterprise): 64 of 150 seats (43%), with 86 seats unused and 9 of 20 connectors.
- Carnmoor Fleet Leasing (growth): 22 of 40 seats (55%).
Borderline, around 60%: Penwortham Mutual (90 of 150, 60 seats unused), Silverbeck Energy Services, Wrenfield Property Management, Tallowfield Health Partners, Marsden Vale Recruitment, Tarnbeck Insurance Brokers and Saltia Hardware Distributors. Each of the six small accounts uses 9 of its 15 seats. Dunholm Precision uses 38 of 60 (63%).
The opposite problem: Merriott Lyle Distribution, Quarrington Care Network and Veldmaat Payments are above their included seats. Many others are at 90% or more.
This measures seats and connectors only. The assessment's status for each account (for example whether Ardcarne is At risk) is a separate reading, which I haven't pulled here. I can add it, or the ARR at stake for each under-user, if you want.

Why did we lose the customers we lost, and who looks like them now?
The chat
Demo: BG-Demo, a fictional company
Asked in Claude: the answer as Ask B gave it
- Why did we lose the customers we lost, and who looks like them now?
Steps Counting in SQL → Counting in SQL → Counting in SQL → Checking the money facts (arr_bridge) → Counting in SQL → Counting in SQL
We have lost 21 customers since the first loss in November 2024. All 21 were lost at renewal, and the CRM's recorded reason is mostly budget or an in-house build. The reasons below are the CRM's lost-deal codes, not a reading of calls or emails. I haven't checked those for the individual accounts.
Why they left (CRM lost reason, ARR at the time of loss)
- Budget: 9 customers, £273k. Examples are Eccup Software, Penmaen Software and Kelvinhaugh Pension Services.
- In-house build: 7 customers, £186k. Examples are Calderbrook Housing Group, Delancey Haig and Marchbank Couriers.
- Acquired by a competitor: 4 customers, £163k. These are Ovenden Software, Saltdean Hart Insurance Brokers, Fairhallow Travel and Lornefield Pensions Administration.
- Customer insolvent: 1 customer, Ashwell Mercer Interiors, £44k.
What stands out
- The 2025 spike: in the 12 months to December 2025, 11 logos were lost, worth £301k. Gross retention was 71.0% and logo retention 67.6%. In 2024, 1 logo was lost and gross retention was 92.3%.
- Mostly UK: 20 of the 21 were UK customers. The exception is Skovdal Software in the EU.
- Four industries: B2B software, recruitment, logistics and pensions administration account for most of the losses. Insurance broking and housing associations also appear.
- Bigger accounts lost recently: more of the 2026 losses were £44k or more.
Who looks like them now These are current customers in the same industries as lost accounts. Each is rated Watch or At risk in the AI assessment as at 9 Oct. I matched on industry and assessment status only. Usage is the monthly active users in September.
- Brackwell Freight Ltd (logistics): At risk, £44k, 14 active users.
- Maelbeek Assurances (insurance broking): At risk, £22k, 14 active users, 7 tickets since July.
- Hollins Tarrant (recruitment): At risk, £20k, 3 active users, 6 tickets since July.
- Thackwray Logistics: Watch, £110k. This is the largest exposure, with 9 tickets since July.
- Kesselfeld Software and Pentreath Cold Chain: Watch, £48k each.
- Smaller accounts on Watch: Clashmore Recruitment, Kadewerk Software, Marsden Vale Recruitment, Haddon Rook Logistics, Clayhithe Logistics, Tarnbeck Insurance Brokers and Fulford Ings Software.
That is 13 accounts. Hollins Tarrant has only 3 active users, which is the weakest adoption on the list, so I'd start there. I'd then review Brackwell Freight Ltd and Thackwray Logistics.
I can build a deck on this, or pull the calls and emails behind individual losses to check the stated reasons.

Why does the CRM's ARR not match what we invoice?
The chat
Demo: BG-Demo, a fictional company
Asked in Ask B: the answer as Ask B gave it
- Why does the CRM's ARR not match what we invoice?
Steps Checking the money facts (reconciliation) → Drawing a chart (CRM ARR runs £438,608 above invoiced ru…)
CRM ARR is £5.0m and the invoiced run rate is £4.51m. That leaves a gap of £439k as at Fri 9 Oct 2026, and all of it is explained. Order-form (contracted) ARR is £4.53m, so the CRM is out by £423k against contracts. Invoicing is only £16k below contracts. [1]
The gap comes from five causes:
- Churned customers still in the CRM, £205k (7 organisations). Their order forms have ended and nothing is invoiced, but the CRM still shows them as customers. Examples are Lornefield Pensions Administration (£44k), Fairhallow Travel (£40k) and Saltdean Hart Insurance Brokers (£40k).
- Duplicate CRM records, £131k (5 organisations). The same customer is held twice. Brackwell Freight is £44k twice, against £44k of contract. The others are Pelton Grange Care, Clashmore Recruitment, Linthorpe Trade Supplies and Dunholm Precision.
- CRM amount differs from the order form, £87k (11 organisations). The largest is Brenneck Pay: the CRM says £125k, the won deal says £62k and the order form says £50k. Carnmoor Fleet Leasing goes the other way, with the CRM £20k below the order form.
- Invoiced below the order form, £21k (7 organisations). This includes Merriott Lyle Distribution (£5,452 short) and Pemaquid Analytics (£3,989 short).
- Invoiced above the order form, -£5,004 (3 organisations). This reduces the gap. Veldmaat Payments is invoiced £5,000 above its order form.
The first three causes are CRM data problems, and together they are £423k. The last two are billing differences against contracts, and together they are £16k. The chart below shows the largest organisations side by side.

- Who at BG-Demo knows Fenmoor Specialty Underwriting best?
Steps Counting in SQL → Counting in SQL → Counting in SQL → Counting in SQL
Daniel Okafor, Customer Success Manager, knows Fenmoor Specialty Underwriting best. He is still employed and is Fenmoor's named CSM. He hosted 27 of the 50 calls on record, all completed, from 20 Sep 2024 to 15 Sep 2026.
- Daniel Okafor: he hosted 27 completed calls, and the latest was on 15 Sep 2026.
- Priya Raman (left 28 Aug 2026): she is still the CRM owner on record and hosted 9 calls, from 20 Mar 2024 to 22 Jun 2026. Her knowledge has left the building, so the CRM ownership needs reassigning.
- Bethan Lister, Support Engineer: she is the assignee on all 23 of Fenmoor's tickets, the latest opened 7 Oct 2026. She knows the day-to-day issues.
- Callie Brennan (left 28 Mar 2025): she hosted 7 calls in 2024, during implementation.
- Hannah Lowe, Solutions Engineer: she hosted 5 calls in Oct and Nov 2025.
- Tom Ashdown, Account Executive: he hosted 2 calls. One was completed on 24 Sep 2026 and the other is booked.
I counted calls and tickets only. I haven't looked at email threads or what was said on the calls.

What happened in the July refresh outage, and which customers were hit?
The chat
Demo: BG-Demo, a fictional company
Asked in Ask B: the answer as Ask B gave it
- What happened in the July refresh outage, and which customers were hit?
Steps Searching the records (outage refresh July) → Counting in SQL → Counting in SQL → Searching the records (outage refresh) → Counting in SQL → Counting in SQL
The July refresh outage ran from Tuesday 21 to Thursday 23 July 2026. It hit 52 organisations, which raised 74 tickets. The tickets are the evidence. The customer figures below are not an official impact list. I did not check whether other customers were affected without raising a ticket.
What happened
- Failure: the nightly refresh did not complete from the night of Monday 20 July. Dashboards showed stale data, and the first tickets came in on 21 July.
- Cause: the support tickets give several causes, and the sources differ. One ticket cites a bug in a recent platform release, with a rollback and a full refresh. Others cite a connector or Snowflake query timeout, and one cites a database lock in the ingestion service [1][2][3]. I found no single confirmed root cause.
- Recovery: fixes were deployed on 22 July. Some customers still had residual issues that day. For example, Brakkevoort's refresh restarted at 14:15 and its CSAT was 2 [4].
Who was hit
- Status of the 52 (AI assessment, 9 Oct): 27 Healthy, 16 Watch, 6 At risk and 3 Growing.
- Largest by contracted ARR: Merriott Lyle Distribution (£138k, Healthy), Kaltenbrunn Medizintechnik (£125k, Healthy), Fenmoor Specialty Underwriting (£125k, Growing, 4 tickets), Brimscombe Energy (£120k, Watch), Hollowmere Care Group (£120k, Healthy), Kingdon Diagnostics (£119k, Watch) and Lindqvarn Retail (£114k, Watch).
Regulated and tender customers
- Quillmark Health: BG-Demo disclosed the outage proactively for its security review. It said the root cause was still being worked out and that it had not yet confirmed whether any records were affected beyond being stale [5].
- Ardcarne Life Assurance: BG-Demo wrote on the same day. The customer asked for the DORA incident timeline, the data affected and dated corrective actions in writing [6].
- Kielderside Growth Agency: it asked in a tender clarification, with all bidders able to see the answer, what caused the outage and what has been done since [7].

Of 151 calls to make as of 9 Oct 2026, the first eight are seven At risk saves and Brimscombe Energy's renewal, almost all due this week. The first eight, each with its reason:
- Dunholm Precision (issue, At risk): Tom Ashdown sends Karen Midgley and Stuart Kenyon a £50k Growth renewal in place of the unsigned £58k proposal this week.
- Veldmaat Payments (issue, At risk): Elena Novak sends the £5,000 credit note to Annelies de Vries and the £50k renewal basis to Joost Verbeek before the 23 Oct 2026 call.
- Brackwell Freight Ltd (issue, At risk): Tom Ashdown sends Gareth Whitlam a line-by-line breakdown of the £50k Growth renewal before the 12 Oct 2026 call.
- Hollins Tarrant (issue, At risk): Marcus Bell clears the CRM connector ticket and repoints connectors at Salesforce before the 19 Oct 2026 call with Rob Ellery.
- Clonvara Insurance Services (issue, At risk): Lewis Kerr sends Brendan Moran an itemised, right-sized Growth renewal quote by 23 Oct 2026.
- Carnmoor Fleet Leasing (issue, At risk): Amara Obi agrees with Kofi Asamoah the four connectors that stay under Starter for the 26 Oct 2026 QBR.
- Moggill Creek Distributors (issue, At risk): Amara Obi sends Troy Henderson the written £22k renewal price and asks for a successor champion to Kylie Dwyer.
- Brimscombe Energy (issue, Watch): Tom Ashdown sends Graham Tovey and Mandy Gasson one corrected renewal paper this week.
I prepared the first, Dunholm Precision (9 sections on the B-Viz Word template). It is on Growth at £51k, renews on Tue 1 Dec 2026 at £50k list, and uses 38 of 60 seats; the CRM renewal deal stands at £58k. 60 of 91 customers are Growing or Healthy on B-Viz's assessment (£3.2m of £4.5m contracted ARR). Insurance leads: 6 customers, £496k, £83k each on average; 3 of them are on Enterprise, with 420 to 1,250 staff. Customers doing best use 79.9% of their seats on average, against 74.9% for the rest.
Three prospects look like them, all insurers with an open Enterprise deal and a call booked:
- Sandusky Bay Mutual Insurance (Milwaukee, US, 680 staff, demo stage, £155k): call on 13 Oct 2026.
- Sauganash Specialty Insurance (Chicago, US, 900 staff, proposal stage, £155k): call on 12 Oct 2026.
- Halberd Point Insurance (Hartford, US, 480 staff, demo stage, £155k): call on 14 Oct 2026.
I drafted the proposal for the first, Sandusky Bay Mutual Insurance: 11 sections on the B-Viz Word template. It is priced from the price book: the Enterprise subscription at one hundred and twenty-five thousand pounds a year, implementation of £30k and £155k in the first year, which is the CRM deal amount. 0 proposals are on record, so this is the first written one.
