What this says
As at Fri 9 Oct 2026Managing Director Terry Hinchcliffe asked what it costs and whether it is going up. Nell Ashcombe confirmed Starter stays at £20k with no uplift. Terry questioned paying for fifteen seats with about four users and will not decide yet.
What happened: On 23 Jun 2025 Daniel, Nell, Donna, Terry and Lynn Staniforth covered renewal. Contract end is 30 Jul 2025 and renewal date 31 Jul 2025.
Customer view: Terry's question was cost, and he asked whether the company could build it itself. Donna says the core team uses it every morning and Lynn gets fewer calls.
Commercial: Nell confirmed Starter at £20k with no uplift, annual in advance on 30 day terms. Nothing is overdue and support has been quiet.
Watch: Terry asked what the company pays for the unused seats and wants time-saved evidence. Daniel aims to send the order form to be done by Thu 17 Jul 2025.

Transcript
- Daniel OkaforHello, hello. Can everyone hear me all right? Thank you all for making the time this morning. Just checking who has joined. I can see Donna, and Terry, and Lynn, lovely, and Nell is here from our side.
- Donna WraggHiya. Yep, hear you fine. Terry's got his camera off, he's in the car park.
- Terry HinchcliffeIn the car. Signal's patchy. Tell me if I drop.
- Nell AshcombeMorning, all. We'll be quick then, Terry. Before we start, what does each of you need to leave this call with? Then we'll make sure we cover it.
- Terry HinchcliffeWhat's it costing us? That's mine. Is it going up or not.
- Lynn StaniforthAnd from me, the dates and the paperwork. I need to know what the renewal looks like on the invoice side and when it lands, so I can get it into the cash plan.
- Donna WraggMine's simple. Does it still save my lot time, and can we keep it simple for the consultants. They've not been moaning, which is a good sign, to be honest.
- Nell AshcombeGood. Then I'll answer Terry first, because that one's easy. You're on Starter, at £19,500 a year, and for this renewal that stays as it is. Same tier, same fifteen users, same price.
- Terry HinchcliffeSame. Right. No uplift.
- Nell AshcombeNo uplift on this one, no. I'd rather say that plainly up front than have you wondering for half an hour.
- Terry HinchcliffeFair enough. Could we do it ourselves, though? I keep asking Donna that.
- Donna WraggHe does. Every year.
- Nell AshcombeIt's a fair question, Terry. You could build pieces of it. The question is who looks after it when the person who built it moves on, and who keeps the connectors working when your systems change. Daniel can speak to how that's gone for you.
- Daniel OkaforThanks, Nell. Just to close the loop on where things stand: the contract runs to 30 Jul 2025 and the renewal date is 31 Jul 2025, so we have a few weeks. I wanted to look at how the team is finding it first, and then the paperwork.
- Donna WraggGo on then. Fire away.
- Daniel OkaforSo on usage, I'm seeing around four people in it on a typical day. That's a touch lower than the previous quarter, a few percent, nothing dramatic. Donna, is that what you'd expect? Is anyone drifting away from it?
- Donna WraggMm. Two of the newer consultants are on the road a lot, warehouse clients mostly, so they're on their phones and not logging in. The core lot use it every morning before they ring clients.
- Daniel OkaforAnd what are they using it for mostly? The roles and placements view?
- Donna WraggRoles, placements, and the invoices side by side. Which client is that, how many have we placed, are they paying on time. It used to be three spreadsheets and a phone call to Lynn.
- Lynn StaniforthIt did, yes. I get far fewer of those calls now, I'll admit. Still some, but fewer.
- Terry HinchcliffeFifteen users and what, four using it? What are we paying for the rest?
- Nell AshcombeFair challenge. Fifteen is the licence on Starter, and it's a soft limit, so you're not paying per head. The price is for the tier. If you only ever want four people on it, the tier still fits you. It's more about whether those four get enough out of it.
- Terry HinchcliffeSo no cheaper tier.
- Nell AshcombeStarter is the entry tier. There isn't a cheaper one underneath, no.
- Terry HinchcliffeHm. Right.
- Daniel OkaforIf it helps, Terry, one thing I'd like to do is a short session with the two newer consultants, so they get comfortable using it on the move. Then more of the fifteen seats are doing something useful. Donna, would that save your lot time or just add a meeting?
- Donna WraggKeep it short and I'd say yes. Half an hour, not an afternoon. They'd come if it's quick.
- Daniel OkaforHalf an hour it is. I'll come back to you by the end of this week with a couple of slots.
- Lynn StaniforthCan I ask about the invoicing? Last year it came through annually in advance. Is that unchanged?
- Daniel OkaforAnnual in advance, thirty day terms, same as you have now. If you'd rather pay quarterly, that's something we can do on request, but I'd need to check how it's set up before promising anything.
- Lynn StaniforthAnnual's fine. Nothing overdue on our side, is there? I haven't spotted anything.
- Daniel OkaforNothing overdue, no. You've been very tidy.
- Terry HinchcliffeAnything gone wrong this year? Outages, that sort of thing.
- Daniel OkaforThere's been one ticket in the last month, a small how-to question, and it was answered without trouble. Nothing high priority at all. Donna, did you feel it was handled quickly?
- Donna WraggYeah, that was mine. Sorted same day. No complaints.
- Nell AshcombeGood. So, Terry, the picture is: same price, same tier, quiet support queue, bills paid, and the people who use it like it. What would B-Viz say if you asked it whether it's worth the money? I'd rather you answer that with your own numbers than take my word.
- Terry HinchcliffeHa. Fair. I'd want to see it. Time saved. Consultants' hours.
- Donna WraggI can pull a few examples. Last month a consultant had a client query about a placement and invoice mismatch and sorted it in the one call instead of ringing round. That's the sort of thing.
- Terry HinchcliffeSend me that. Short, though. I don't read long emails.
- Donna WraggThree lines. Promise.
- Daniel OkaforAnd I can send the renewal order form, the same terms as now, so Lynn and Terry can look at it together. We're aiming to have it done by Thursday 17 July 2025, which leaves comfortable room before the end date.
- Terry HinchcliffeI'll think about it. Not deciding today.
- Nell AshcombeThat's all right, nobody expects you to. Have a read, talk to Donna, and tell Daniel if anything doesn't make sense.
- Lynn StaniforthCould you put the renewal date and the invoice amount in the covering email? Makes my life easier.
- Daniel OkaforOf course. Amount, date, payment terms, all in the email, and I'll attach the form. Anything else from anyone?
- Donna WraggNope, I'm good.
- Terry HinchcliffeNothing. Signal's dropping, I'm off.
- Nell AshcombeThanks, everyone. Best, Nell.
- Daniel OkaforThank you all. Best wishes, and speak soon.
- Daniel OkaforSorry, I'm still on the line. I'll stop the recording now.
