- Hollie to send Rachel the ticket thread and share it with Jordan.
- Hollie to put a check-in in the diary before the renewal notice.
Risks

- Sandbox terms for the order form are unconfirmed, so a promise could be wrong.
Opportunities
As at Fri 9 Oct 2026- Rachel wants the Sandbox to test sponsor mapping, which supports the Enterprise value case.

Transcript
- Hollie GrieveHello, hello. I think we're nearly all here. Jordan, can you hear us?
- Jordan PikeI can, loud and clear. Hi, everyone. Hi, Meredith, hi, Rachel.
- Rachel FeldmanHi, all. Sorry, I'm in the car park, give me a second to get into the room. Okay, I'm in.
- Meredith SullivanHi, everybody. Hollie, you must be on your evening there, thank you for doing this at this hour.
- Hollie GrieveNo bother at all. It's gone quarter past five, so I'm practically on my way home anyway.
- Jordan PikeQuick agenda, then. One line: usage, value, what's next, and the renewal heads-up. And a time check, we've got just over an hour, so we have room. Does that work?
- Meredith SullivanWorks for me. Can I do the sponsor update first? Two minutes, I promise.
- Jordan PikeOf course. Go ahead.
- Meredith SullivanSo, since the last time we talked, the sponsor team has made it a habit. Before every sponsor call, the lead opens B-Viz, looks at open issues, recent calls and where invoices stand, and walks in already knowing. We had one sponsor raise a concern about a study milestone, and for once we called them before they called us. What does the sponsor know? We made sure it was us they heard from. I'm not going to say anything about the study itself, but that is the behaviour I wanted. One portfolio, one story.
- Hollie GrieveThat's exactly the outcome we hoped for when we set this up. Thank you, Meredith. Shall I go through the usage, then?
- Meredith SullivanPlease.
- Hollie GrieveRight. So the headline is that the number of people using B-Viz every month has kept climbing. Compared with the previous quarter, it's up by well over a third, and that's after a very big jump the quarter before. You're on one hundred and fifty licensed users, and you're using a good portion of that, but nowhere near the limit.
- Rachel FeldmanThat matches what I see in the admin console. We keep adding people from study management. I'd say a lot of it is word of mouth.
- Hollie GrieveWhich is the best kind. And questions asked are rising in step with users, which is the measure I care about most. It isn't one or two people asking everything, it's spread over several teams. Rachel, that's what I wanted to ask you last time. Do you recognise that?
- Rachel FeldmanYes. Sponsor relations are the heaviest, finance is steady, and study management is the fastest growing. I'd not say anyone dominates. There's a couple of power users in my own group, but they're not a single point of failure.
- Hollie GrieveGood. That's the pattern I'd hope for at this stage.
- Jordan PikeTo be transparent, this is a healthy curve. Hollie, what about the sources? Connectors, records indexed?
- Hollie GrieveConnectors are stable and records indexed keep growing, so nothing has stopped loading. The nightly refresh is landing on time on business days. Nothing odd there.
- Rachel FeldmanI'd confirm that. It's been quiet.
- Jordan PikeYou did raise one ticket in the last month, though. High priority.
- Rachel FeldmanYes, that was me. I'd rather flag something early than sit on it. Hollie, you saw it.
- Hollie GrieveI did. One high priority ticket in the month, and it's the only one. I'm happy to send you the whole thread afterwards if you'd like it for your records, Rachel, and Jordan I'll make sure you can see it too.
- Rachel FeldmanPlease. And I'd like it noted that the response was quick. That's what we wanted from the Enterprise level.
- Jordan PikeGood to hear. Here's where we are on the contract side, so nobody is surprised. You're on Enterprise at one hundred and eighteen thousand seven hundred and fifty pounds a year, that's the figure on the order form and it's what we've invoiced. £118,750, and no overdue invoices on our side.
- Meredith SullivanThat matches my understanding, yes.
- Jordan PikeThe term runs to 6 Apr 2027, and the renewal date is 7 Apr 2027. Hollie will own the renewal conversation and send the formal notice in good time. I just wanted it said out loud.
- Meredith SullivanNoted. And before anyone asks, I'm not committing anything on budget today. That's a conversation I'd have with my leadership later. I can tell you the value story is easy for me to tell, though.
- Jordan PikeUnderstood, and that's all I need. What would make this a yes for next spring? Is there anything you'd want to see between now and then?
- Meredith SullivanHonestly, more of the same. And a bit more help getting finance fully on board. They love the invoice view, but they ask for more of it.
- Rachel FeldmanCan I add one thing? The Sandbox. I know Enterprise can include it. I'd like to try changes to how we map sponsors without touching the live setup.
- Hollie GrieveThat's a good use of it. I'd need to check exactly how it's set out for your order form and come back to you, so I won't promise the details on the call.
- Rachel FeldmanThat's fair. A short answer by email is fine.
- Jordan PikeI'll pick that up with Hollie, too. If anything needs a commercial change, it comes through me, and I'll be straight about it either way.
- Meredith SullivanGood. Let's get ahead of it, then. Finance session, Sandbox answer, and the renewal reminder.
- Hollie GrieveYes. I'll take the finance session and the Sandbox answer, send Rachel the ticket thread, and put a check-in in the diary before the renewal notice. Jordan, anything from your side?
- Jordan PikeNothing else. Thank you both. This is a great account to be working on.
- Meredith SullivanThanks, everyone. Speak soon.
- Rachel FeldmanThanks all. Bye.
- Hollie GrieveBye, cheers.
