What was said
What this says
As at Fri 9 Oct 2026Kickoff for the Enterprise implementation. Meredith wants one portfolio view per sponsor, with strict separation between sponsors. Rachel's main worry is access design. Order form figure was confirmed as matching invoices.
What happened: Hamza set out the build inside the customer's own Snowflake account, with connectors phased from the CRM onward. Hollie confirmed the order form was signed on 7 Apr 2026 and renewal falls on 7 Apr 2027.
Customer view: Meredith framed the purchase as knowing what the sponsor knows, and called sponsor separation non-negotiable. Rachel said her main worry is access design, by sponsor and by study.
Commercial: Hollie said the annual figure of £119k matches what has been invoiced, with 150 users licensed. Meredith said budget changes would go through the finance lead, and Hollie flagged nothing.
Watch: Study-management naming is inconsistent, and SSO and SCIM need an IT admin who is not yet engaged. Pilot dates were not committed.

Follow-up
Next steps
As at Fri 9 Oct 2026- Rachel Feldman to introduce Hamza Akhtar to IT this week and send a masked study export the following week.
- Hamza Akhtar to send the access note on the day of the call.
- Hollie Grieve to circulate the plan and owners in writing the day after the call.
Risks
As at Fri 9 Oct 2026- Inconsistent sponsor naming in study-management data could delay the later connectors.
- The IT account admin is not yet engaged, which gates the Snowflake role and SSO and SCIM setup.
Opportunities
As at Fri 9 Oct 2026- A successful sponsor relations pilot could widen to study management and finance, deepening use of the Enterprise tier.
Transcript
- Hollie GrieveHello, hello. Can you hear me all right? I think Hamza's still joining.
- Meredith SullivanHear you fine, Hollie. Hi. Rachel's here with me, she's just getting her headset sorted.
- Rachel FeldmanSorry, yes, one second. Okay. Is that better? I had it on the wrong output.
- Hamza AkhtarHi all, sorry, sorry, a bit late. Afternoon. My last call ran over. Can everyone see my slide or is that just me?
- Hollie GrieveNot yet, Hamza, we'll get to it. Let's give it a minute. How's the week been over in Boston? It's been grey and drizzly here, very April.
- Meredith SullivanBusy, but good busy. Honestly, can I start with a quick sponsor update? It frames why we're doing this.
- Hollie GrievePlease, go for it.
- Meredith SullivanSo, what does the sponsor know? That's the question my team gets every single week. A sponsor calls about a study, and I'm hunting through the CRM, the helpdesk, a call recorder, and finance has a separate view on invoices. By the time I have the picture, the sponsor has already heard it from someone else on our side. Let's get ahead of it. One portfolio, one story. That's what we bought this for.
- Hollie GrieveThat's exactly how I'd framed it internally, so thank you. And to be clear, nobody should see across sponsors who shouldn't. Each sponsor's studies, issues, calls and invoices together, but kept separate.
- Meredith SullivanYes. That's non-negotiable for us. Never one sponsor's information in front of another sponsor's team.
- Rachel FeldmanAnd that's most of my worry, to be honest. Access design. Who sees what, by sponsor, by study.
- Hamza AkhtarGood, that's a great place to start, then. Let me share. Right. Can you see it now?
- Rachel FeldmanYes. Slightly small, but fine.
- Hamza AkhtarI'll zoom. So, the shape of the next few weeks. You're on Enterprise, so it's the full implementation with security review support. Everything runs inside your own Snowflake account. Nothing leaves it. We're not copying your data to us, we build the layer in your environment.
- Rachel FeldmanOkay, that's helpful for my security colleagues. They'll ask. Who has admin on the Snowflake side?
- Hamza AkhtarThat's one of my questions for you. We need a named person in your IT who can create a role and a warehouse for us. Is that you, Rachel, or someone else?
- Rachel FeldmanNot me directly. I own the clinical operations data, but a colleague in IT holds the account admin role. I can introduce you this week.
- Hamza AkhtarPerfect. Then that's action one. I'll send a short note you can forward, listing what we need and why, so they're not guessing.
- Hollie GrieveAnd just so the commercial picture is on the table, you're licensed for one hundred and fifty users, and the order form was signed on 7 Apr 2026. Renewal is 7 Apr 2027, so we've a good run at this.
- Meredith SullivanRight. And the annual figure on the order form, that's the one hundred eighteen thousand, seven fifty?
- Hollie GrieveYes, £118,750 a year. That matches what's been invoiced, so nothing to reconcile there.
- Meredith SullivanGood. I'll say I can't speak to any budget changes on my own, anything like that goes through our finance lead. But I'm happy with where we are.
- Hollie GrieveUnderstood, and nothing to flag on that today. Hamza, connectors?
- Hamza AkhtarYes. So the order form lists the sources. I'd suggest we don't try to light everything on day one. Start with the CRM, because sponsor relationships live there, then the helpdesk, then the accounting system for invoices, then the call recorder. Study-management data after that, once we've agreed how studies map to sponsors.
- Rachel FeldmanMm. The study-management mapping is the hard one. Naming isn't consistent. The same sponsor can appear three different ways.
- Hamza AkhtarThat's very normal. We'd build a mapping table with you, you own the truth of it, we make it queryable. Can you share a sample export?
- Rachel FeldmanYes, with sponsor names masked, I'd want that anyway. I'll sort it by early next week.
- Meredith SullivanCan I ask about timing? I'm going to get asked when my team can use it. I won't promise a date to anyone, but I'd like to know the order.
- Hollie GrieveSensible. The order is connectors, then a pilot with your sponsor relations team, then widening to study management and finance. We'll confirm dates in writing once Hamza has seen the Snowflake side.
- Meredith SullivanGood. Pilot with my team first. They're keen, and they'll be honest.
- Hollie GrieveUsage so far is a handful of people poking around, which is what we'd expect at this point. One ticket in the last month, a small how-to, already closed I think.
- Rachel FeldmanThat was me. Sorry. Just a question about page sharing.
- Hollie GrieveDon't apologise, that's what it's for.
- Hamza AkhtarLast thing from me. Single sign-on and provisioning. Enterprise includes SSO and SCIM, so we should plan that with your IT colleague at the same time. It saves you hand-creating accounts for the whole user base.
- Rachel FeldmanYes please. I do not want to be adding people one by one.
- Meredith SullivanSo who owns what? Let's make sure I'm clear. Rachel is the admin and the data owner, my team pilots, and Hamza leads the build.
- Hollie GrieveExactly. And I'm your point of contact for adoption, so anything that feels off, come to me. Jordan stays on the commercial side.
- Hamza AkhtarNext steps, then. Rachel introduces me to IT this week. I send the access note today. Rachel sends the masked study export next week. Hollie circulates the plan and owners in writing.
- Hollie GrieveYep, I'll do that tomorrow. Anything else before we stop? Meredith?
- Meredith SullivanNo, that's great. Thanks, everyone. This feels real now.
- Rachel FeldmanSame. Thanks. Speak soon.
- Hollie GrieveCheers all, bye.
