What this says
As at Fri 9 Oct 2026Tom Ashdown sent the Growth renewal order form showing £116k. Malcolm Hebden replied that he needs the term, dates and breakdown, cannot sign without the board, and questions whether 80 users is right.
Ask: Malcolm wants the term stated with start and end dates, and £116k shown against it. He asked how it compares year by year with the £56k currently paid, and whether anything is one-off.
Customer view: He cannot sign a multi-year commitment without the board and asked what happens if the board has not met by 16 Jan 2026. He also asked for BG-Demo's view on whether 80 users is right.
Next: Tom owes the breakdown and a position on timing. Marcus Bell may supply usage information.

- Tom Ashdown 12 Jan 2026 12:48Hi Malcolm, Hope you're well. I've attached the renewal order form for Kelbrook's Growth subscription, ready for signature. Your current term ends on 16 Jan 2026 and I'm aiming to have it closed by Wednesday 14 Jan 2026, so there's no gap in service for the team. The total value on the form is £116,000. I'll confirm the exact breakdown of that figure for you, rather than rely on memory, and I'll send it across today so you can see what sits behind it. For reference, your current contracted annual figure is £55,800 and the licence covers 80 users. I know you like to see how the numbers line up over the whole term, so I'll make sure the breakdown shows that clearly. If it helps, I'm happy to put something in the diary this week to go through it together. Leave that with me and let me know if anything on the form looks off. Best, Tom
- Malcolm Hebden 12 Jan 2026 15:44Dear Tom, Thank you for the order form. I have read it, and I have some questions before I can take it any further. First, what does that commit us to, and for how long? I would like the term stated plainly, with its start and end dates, and I would like the £116,000 shown against that term. I do not accept a figure without its base. Please tell me whether it is the total for the whole term, or includes anything one-off, and how it compares year by year with the £55,800 we currently pay annually. Over the full term, please. Second, I cannot sign a multi-year commitment without the board. Given how close we are to 16 Jan 2026, I would like to know what happens if the board has not been able to consider it by then. I would rather agree that with you now than find out afterwards. Third, I understand from Rebecca that use of the system has fallen recently. These are members' money, not ours, and I need to be able to say to the board what we are getting for it and whether 80 users is the right number. I would be grateful for your view on that, and for whatever Marcus can provide. I will not be deciding anything today. Please send the breakdown you mentioned and I will review it with that in mind.
