What this says
As at Fri 9 Oct 2026Malcolm Hebden asked for written confirmation that Kelbrook's price basis holds. Tom Ashdown, with Bridget Kearsley copied, said the July cut-off does not apply. Malcolm wants the order form to state it for the full term.
Ask: Malcolm asked three questions on whether the new list applies, how long the existing basis holds and what could change it. He wants each answer with its date and base.
Customer view: He is reassured by the January start and the July cut-off, but wants the order form itself to carry the price basis for the whole new term. He also wants the draft before 16 Jan 2026 and Marcus Bell on the next call.
Next: Draft order form stating the basis over the full term, and a usage discussion about the 80 licensed users. Malcolm will decide only after seeing the draft.

- Malcolm Hebden 6 Jan 2026 09:47Dear Tom, Thank you for the letter on Monday about the new price list. I have read it twice. Before I take anything to the board, I should be grateful for written confirmation of where Kelbrook stands. Our current order form is a two-year Growth term, and our understanding has always been that the price we agreed would hold. The letter speaks of customers moving to the new list at their first renewal. What I need to know is this: - does the new price apply to Kelbrook at all, given our renewal falls in January - if it does not, for how long does the existing basis hold, and is that the whole of the next term - what, if anything, could change it during that term I would ask for each answer with its date and its base, please. I do not accept a figure without knowing what it is measured against, and the board will ask me exactly that. Kind regards, Malcolm Hebden
- Tom Ashdown 7 Jan 2026 10:20Hi Malcolm, Thanks for coming back so quickly, and fair questions. I've copied in Bridget Kearsley, our CFO, so that you have it from finance as well as from me, and so nothing is left to my memory. Short version: the new price list only applies to renewals that start on or after the first of July. Your renewal starts before that, in January, as your current term ends on 16 Jan 2026. That means the whole of the new two-year term stays on the existing price basis. It doesn't switch part-way through, and the July cut-off doesn't touch you. The letter was sent to every customer on the old price list, which is why it reads as general rather than specific to Kelbrook. For the avoidance of doubt, and so you have it in one place: Bridget will confirm the figures against our records and we'll put the price basis and the term into the new order form itself, so it's in the contract and not just in an email. If you'd like it set out differently for the board, say so and we'll do that. No drama on timing either. We can give you the draft whenever suits. - Malcolm Hebden 9 Jan 2026 14:39Dear Tom, Thank you, and please pass my thanks to Bridget. That is clearer than the letter, and it is helpful to have it from both of you. I am reassured by what you say about the January start and the July cut-off. I should like to be sure that it is the order form that carries this, so please could the draft state the price basis for the whole of the new term, not only the first year? Over the full term, please. If the board is to be asked to commit for two more years, I want the document to say what you have said in the email. Two further points. First, I would like to see the draft before 16 Jan 2026, so that the board has time to read it. Second, I remain a little concerned about usage, and I should like Marcus to join the next conversation so that we can discuss how to bring more of the 80 licensed users into regular use. That is members' money, not ours. I shall wait for the draft before deciding anything. Kind regards, Malcolm Hebden
