What was said
What this says
As at Fri 9 Oct 2026Aoife Brophy saw B-Viz find a status mismatch between the payments platform and accounting system. Four systems fit the limit, a fifth would mean Growth. Club access and security were left open.
What happened: Theo Gallagher demoed on a names-replaced export of Ballycullen's own data. B-Viz flagged two client accounts with a mismatch, and Aoife said this is exactly what the team does by hand.
Customer view: Aoife wanted proof on real data and was reassured by the freshness screen. She said "We have no owner for that, which is probably the point" about status ownership.
Commercial: Four systems (payments platform, accounting system, CRM, shared inbox) leave no room for a fifth, so a fifth system points to Growth. Club-level login was declined as not available on this set-up.
Watch: Open points are the status owner, the fifth system, club access and the security questionnaire for the IT lead. Aoife will speak to her CFO this week.

- Matteo Ricci sends the split of the deal value and the proposal date.
- Theo sends the freshness screenshot in a dated note this afternoon.
Risks
As at Fri 9 Oct 2026- Nobody at the customer owns status across the two systems, so the same gap could recur.
- Club-level access is not supported on this set-up and may matter to the customer.
- The security questionnaire from the IT lead is still to come.
Opportunities
As at Fri 9 Oct 2026- A fifth system would move the customer from Starter to Growth.
- Theo can help the customer set up a status owner process.
- The freshness screen gives Aoife something to show her CFO.
Transcript
- Matteo RicciAoife, good morning. Theo is with us and he runs the demo. We have an hour, and I would like the last ten minutes for questions.
- Aoife BrophyMorning. Hello Theo. Good to see the face behind the emails.
- Theo GallagherHello, Aoife. Thanks for having us. Before I start, what do you most need to be sure of today?
- Aoife BrophyHonestly? That it works on our own data, not a sample that somebody tidied up.
- Theo GallagherFair. Then I'll use an export from your payments platform and the accounting system, with names replaced. The numbers will be real, and every answer shows where it came from.
- Aoife BrophyOkay. Go on.
- Theo GallagherThis is the brain. Type a question in the box.
- Aoife BrophyWhich client accounts had a mismatch at the last month end?
- Theo GallagherGive it a moment. There. It lists two accounts, with the mismatch amount and the date each was flagged.
- Aoife BrophyMm, that second one, I'd have said it was fixed. Can you see why it's still flagged?
- Theo GallagherYes. The fix was recorded in the accounting system, but the payments platform still shows the old status. So the brain is accurate, but the two systems disagree. That's the reconciliation problem you described, shown in one place.
- Aoife BrophyRight. That is exactly what we do by hand. So it found it.
- Theo GallagherIt found it, yes. The short answer is the search is fine. The longer answer is that your data needs a single owner for status, or the same gap keeps coming back.
- Aoife BrophyYes. We have no owner for that, which is probably the point.
- Matteo RicciI would rather you heard it from us, Aoife. That is a process decision on your side, and Theo can help you set it up.
- Aoife BrophyAgreed. Carry on.
- Aoife BrophyCan you show me the collections side? That's the disputes inbox.
- Theo GallagherYes. Connecting a shared inbox is one more connector. That makes four systems in total: the payments platform, the accounting system, the CRM and the inbox.
- Aoife BrophySo that is everything we have, and no room for a fifth.
- Theo GallagherYes. If you want a fifth system, we would talk about Growth. I would rather show you the honest limit now than have it surprise you.
- Aoife BrophyMakes sense. Show me the disputes search, then.
- Theo GallagherHere. Type open disputes over a month old.
- Aoife BrophyOpen disputes over a month old, by club.
- Theo GallagherWorking. The result is a list grouped by club, each row linked to the thread where the dispute was raised.
- Aoife BrophyLovely. And can a club's own admin log in and see only their own account?
- Theo GallagherNot on this set-up, no. Access is for your staff. If clubs need their own view, that's a separate conversation, and I would not want to promise it today.
- Aoife BrophyMm, okay. Noted.
- Aoife BrophySorry, I was on mute. Can it tell me the data freshness? If the payments feed is late, I want to know before I answer a club.
- Theo GallagherYes. Each source shows when it last refreshed, and this screen shows if a source is behind.
- Aoife BrophyGood. Because I've had a club ring me about a payment that was in the system two days ago.
- Theo GallagherThat's exactly what this shows. Here, you can see the freshness of each feed. The payments feed updated this morning.
- Aoife BrophyThat's reassuring. Right, what about the security questions? Our IT lead will ask.
- Theo GallagherWe have a standard questionnaire pack. The data stays inside your own Snowflake account. I'll send the pack with control references, and I will not describe a control we have not evidenced.
- Aoife BrophyThanks, that's exactly what I need.
- Matteo RicciLet me sum up before Aoife has to go. The open points are the status owner, the fifth system, and the question about club access. Theo sends the questionnaire pack, and I send the split of the deal value and the proposal date.
- Aoife BrophyYes, that's right. Can you also send the freshness screen as a note? My CFO will want to see it.
- Theo GallagherI'll put a screenshot in the note, with the date it was taken.
- Aoife BrophyLovely. Thanks both. I'll speak to my CFO this week.
- Matteo RicciThank you, Aoife. We will send the note this afternoon.
- Aoife BrophyBye both.
- Theo GallagherBye, Aoife.
