What this says
As at Fri 9 Oct 2026Priya presented the £26k proposal to Victoria and Hugo. Scope, setup load, training and security were covered. Hugo will review the proposal and breakdown, and an answer was targeted for 13 Mar 2024.
What happened: Priya walked Victoria Spence and Hugo Fawcett through the £26k proposal covering the lettings team, landlord and tenant records and maintenance links. Rent statements were agreed as a second stage with a date to be written in.
Customer view: Hugo worried about setup effort for a small team and asked whether the price was fixed for the term. Victoria wants the whole lettings team trained together and needs backup when out on viewings.
Commercial: Priya said the price is fixed for the first term and that an order form under standard terms is the document to sign. Hugo asked for the proposal and breakdown to look at this week, and an answer was suggested by 13 Mar 2024.
Watch: Hugo's main worry is security. The evidence does not show whether the CTO session before signing was booked.

Risks

- Setup load on a small team, with Victoria as the single owner, could slow the start.
- Rent statements are out of first-stage scope and could become a sticking point if no date is set.
Opportunities
As at Fri 9 Oct 2026- Rent statements as a second stage give a follow-on engagement.
- Extra admin training session and a named second owner deepen adoption from the start.
Transcript
- Priya RamanHello all, can you hear me? Priya here. Thanks for making the time, I know lunch is precious. Quick recap first so we're on the same page: we've looked at the lettings side, we've done the demo, and today's about the proposal and what it looks like for you.
- Victoria SpenceHiya Priya, yes, I can hear you. Hugo's just joining, he was stuck in another call.
- Hugo FawcettSorry, yes, I'm here. Hello, sorry about that, one of those mornings.
- Priya RamanNo problem at all, you're here now. Let's go through the proposal, and I'll stop at any point for questions.
- Hugo FawcettGood. I've read the summary, but I want to hear the detail. What's actually included in the price?
- Priya RamanOf course. The proposal total is £25,500, and the scope is the lettings team, the landlord and tenant records, and the maintenance links, as we discussed in the demo.
- Hugo FawcettIs that the whole figure, or is there more to come?
- Priya RamanThat's the total on the proposal. I'll send the full breakdown in writing so you can see exactly what's in it and what isn't. I'd rather you saw it on paper than took my word for it.
- Hugo FawcettFine. Victoria, is the scope what you asked for?
- Victoria SpenceMostly, yes. The tenant history and the maintenance are the two big ones. I'd like the rent statements too, but I know that's a bit more work.
- Priya RamanYes, the statements would be a second stage, so I'd keep them off the first one to keep it simple. Would that work for you?
- Victoria SpenceI think so, as long as we know when it's coming.
- Priya RamanLet's write that into the proposal with a date next to it, so it's not left hanging.
- Hugo FawcettI'm concerned about the time it takes to set up. We're not a big team, and I don't want Victoria doing it all.
- Priya RamanThat's fair. Setup is done with your team, and we'd run most of the work on our side. You'd have one owner on your side, and Victoria is the obvious person, if she's happy.
- Victoria SpenceI'm happy, but I'll need a bit of backup for when I'm out on viewings.
- Priya RamanAbsolutely. Let's name a second person, someone in admin, so the connection doesn't sit with one person.
- Hugo FawcettRight, let's do that. What's the timeline on this? I want something to plan around.
- Priya RamanOnce we've signed, the setup runs over a few weeks, and we'd agree a go-live date in the first week so everybody knows where they stand.
- Hugo FawcettAnd signed means what, exactly? An order form, or a letter?
- Priya RamanAn order form, under our standard terms. I'll send that across with the proposal, and it's the document we both sign.
- Hugo FawcettOkay. And the price, is it fixed for the term, or does it move?
- Priya RamanIt's fixed for the first term as set out in the proposal. I'll confirm the detail in writing so you've got it in one place.
- Victoria SpenceThank you. Sorry, can I ask about training? We'd want the whole lettings team ready in one go, not in dribs and drabs.
- Priya RamanYes, we'd do a short session with the whole team, and the admin person gets an extra session. I'll put that in the proposal too, so it's written down.
- Hugo FawcettGood. My main worry is the security side. Victoria says it's all inside our own Snowflake account, is that right?
- Priya RamanThat's right, it sits inside your own Snowflake account, and our CTO can take you through the detail whenever you want. I'd love to set that up before we sign.
- Hugo FawcettYes, let's do that. Send me the proposal and the breakdown and I'll look at it this week.
- Priya RamanLovely. I'll get both over today. Is there anything else before we finish?
- Victoria SpenceSorry, we've been talking for ages. Quick one: can I share the proposal with my colleague in the office?
- Priya RamanOf course. It's written for the whole team. I'd suggest we aim to have an answer by 13 Mar 2024, so there's no pressure, but it gives us a date.
- Hugo FawcettThat works for me. Priya, thanks. I'll come back to you once I've had a look.
- Priya RamanGreat. I'll follow up on Monday to check you've got everything.
- Hugo FawcettRight, I've got to go. Thanks for the detail, Priya.
- Priya RamanThank you Hugo. Speak soon.
- Victoria SpenceBye, thanks everyone.
- Priya RamanBye Victoria. Speak soon.
