What was said
What this says
As at Fri 9 Oct 2026Proposal call with Holly Garside and CFO Vincent Ackerley. The £54k all-in figure was discussed. Vincent will not decide today and wants a written proposal and a usage case for the board.
What happened: Tom walked through scope (the Growth tier), implementation and the money. Vincent asked what Eccup Software would lose by doing nothing and whether the team would use it weekly.
Customer view: Holly said she finds out a provider is drifting only when they tell her, and wants to see it in usage first. Vincent asked for time saved per renewal and which decisions would change.
Commercial: Tom gave the deal figure as fifty-three thousand eight hundred, implementation included, taken from the deal record. Vincent asked whether it is in budget and said he would not decide today; Holly said the chief executive must also be consulted.
Watch: Vincent also wants the terms for adding people later. The 22 Apr 2024 close was called a target, not a deadline.

Transcript
- Tom AshdownHello. Can you hear me alright? Holly, I can see you. Vincent, I think you're muted.
- Vincent AckerleyApologies. Good afternoon. Can you hear me now?
- Tom AshdownPerfect. Thanks for making the time, Vincent. How's your week going?
- Vincent AckerleySteady, thank you. Budget season, so rather full. Before we begin, may I ask about usage? What does it look like for a company of our size?
- Holly GarsideI can pick that up, Vincent. What the usage tells us is how often my team goes to the tickets, renewals and usage data, and what we'd stop doing by hand. Becky and I wrote down the manual work last week.
- Tom AshdownAnd I'll keep this one short. It's the proposal, so I'll walk through scope first, then the money, then what happens next. Stop me anywhere.
- Tom AshdownScope is the Growth tier. That's several teams, the dashboards builder, chat and search, and a quarterly review with us. The aim is that customer success can read tickets, renewals and usage for each provider in one place.
- Vincent AckerleyMm. And what would we lose if we did nothing? Genuinely asking.
- Holly GarsideTime, mainly, and the early warning. Right now I find out a provider is drifting when they tell me. I'd like to see it in the usage first.
- Vincent AckerleyUnderstood. Is that something the team would use every week, or would it sit unused after the first month?
- Holly GarsideEvery week. We start our Monday review from the renewals list. It's already the first thing I open.
- Tom AshdownWhich fits how we plan it. Implementation is a fixed fee, it runs over several weeks, and we connect the sources with Holly's team: the helpdesk, the CRM, the product usage and finance.
- Vincent AckerleyAnd the data. Our contracts with providers are sensitive. Where does it go?
- Tom AshdownIt stays in your own Snowflake account. B-Viz runs there, not in ours. Tobias covered the detail on the last call, and I can have him send you a one-page note.
- Vincent AckerleyThat would help. Thank you.
- Tom AshdownNow the money. The figure we've got on the deal is fifty-three thousand eight hundred, all in, implementation included. I'm saying that from the deal record, so I'll confirm it line by line in the written proposal.
- Vincent AckerleyThank you for being clear it includes the implementation. Is it in the budget? That is my question for us, not for you.
- Holly GarsideIt's a conversation with our chief executive too, Vincent. I can't commit anything before that.
- Vincent AckerleyQuite right. Let's not rush. I would like to see the proposal in writing and a usage case I can put in front of the board.
- Tom AshdownNo drama, that's what I'd want in your seat. What shape would the usage case need? Numbers of questions, time saved, something like that?
- Vincent AckerleyTime saved per renewal, and which decisions would change. I don't need product detail. I need to know the team will use it.
- Holly GarsideI can draft that with Becky from what we did last quarter. We'll send it to you before the next conversation.
- Tom AshdownBrilliant. On timing, we've pencilled a close of Monday 22 April 2024, but that's a target, not a deadline. If your process needs longer, tell me.
- Vincent AckerleyNoted. I will not decide today, and I would rather say so plainly. Send the proposal and I will review it with the finance team.
- Tom AshdownThat's fair, Vincent. I'll send it this week with the scope, the written price and the security note. Anything else you want in it?
- Vincent AckerleyThe terms for any change later, please. Adding people, for instance. I'd rather know now.
- Tom AshdownYep, I'll include the add-ons and how they're charged. Leave that with me.
- Holly GarsideThanks, Tom. Thanks, Vincent. I'll chase my side.
- Vincent AckerleyThank you both. Goodbye.
- Tom AshdownCheers all. Speak soon.
