What this says
As at Fri 9 Oct 2026Terry Hinchcliffe asked what renewal will cost and whether the team could use a spreadsheet instead. Usage is about four of fifteen users a day. Daniel promised a one-page proposal and a session for newer staff.
What happened: Daniel Okafor confirmed the Starter contract runs to 30 Jul 2025 with renewal on 31 Jul 2025, at £20k a year, matching the invoices with nothing outstanding.
Customer view: Terry's first question was "What's it costing us?" He read about four active users out of fifteen as poor value and asked whether the firm could do it in a spreadsheet. Lynn Staniforth thought newer desk staff had never been shown the tool.
Commercial: Terry asked whether the price is going up and Nell Ashcombe would not quote a figure she had not checked. Terry would only say he would think about it and talk to Donna.
Watch: Nell said that if the sessions do not lift usage, BG-Demo should discuss whether Starter is the right shape. The signer and payment terms are still to be confirmed in writing.

Transcript
- Daniel OkaforHello, afternoon. Can everyone hear me alright? Thank you all for making the time. Let me just check who has joined. I can see Terry, and Lynn, and Nell is with me.
- Terry HinchcliffeCan hear you. Bit of an echo.
- Lynn StaniforthAfternoon, all. I've got you fine. Terry, you're the one with the echo, I think you've got two tabs open.
- Terry HinchcliffeRight. Hang on. Better?
- Daniel OkaforMuch better, thank you. Lovely. Nell, did you want to start us off?
- Nell AshcombeHappy to. Afternoon, both. Before anything else, I'd like to know what each of you needs to leave this call with. Terry, you first, if that's all right.
- Terry HinchcliffeWhat's it costing us? That's it really. Contract's up in the summer, so I want to know what we're being asked to pay.
- Nell AshcombeStraight to the point, good. Lynn?
- Lynn StaniforthMine's mostly paperwork. I want the dates right so I can put the renewal in the diary, and I want to be sure what we've paid matches what we signed. I've had a look at the invoices and I think it does, but I'd like you to say so as well.
- Daniel OkaforThat's a sensible place to start, Lynn, and I can help with it straight away. Just to close the loop on the basics. You joined us on 31 Jul 2023, as one of our first customers, and you're on the Starter tier. The contract runs to 30 Jul 2025, and the renewal date is 31 Jul 2025.
- Lynn StaniforthThat matches my note. And the amount?
- Daniel Okafor£19,500 a year. That's what's on the order form and it's what has been invoiced, so those two agree. And I believe you have nothing outstanding with us at the moment.
- Lynn StaniforthNo, nothing outstanding. Everything's been paid on time, it's all gone through the accounting system without any fuss.
- Terry HinchcliffeNineteen and a half thousand. Fine. Is that going up?
- Nell AshcombeI'll be careful here, Terry, because I don't want to give you a number I haven't checked. What I can say is that Daniel will send you a proper renewal proposal in writing, with the figure and the terms on one page, well before the end of the contract. Nothing will surprise you.
- Terry HinchcliffeHm. I'll think about it.
- Nell AshcombeThat's fair. You shouldn't decide on a call anyway.
- Terry HinchcliffeNever do.
- Daniel OkaforSo, what I'd like to do is give you a quick picture of how the team has been using B-Viz, because that is really what the renewal ought to rest on. Is that all right? I can share my screen.
- Lynn StaniforthGo on.
- Daniel OkaforRight, can you see that? It's the usage page for your organisation. You have fifteen licensed users. Over the last month, on average, about four of them have been active on a given day. That's a little lower than the quarter before, a bit under a tenth less, so it has drifted down rather than fallen away.
- Terry HinchcliffeFour out of fifteen. That's not great, is it? We're paying for fifteen.
- Daniel OkaforI understand why you'd read it that way, Terry, and it's a fair question. Can I give you my honest view? Fifteen is the number of seats on the tier. It's not a target. What matters more is who the four are and what they ask.
- Terry HinchcliffeGo on then. Who are they?
- Daniel OkaforMostly Donna's operations side and a couple of the consultants who look after your bigger clients. They're asking about roles, placements and invoices for a client, all in one place, which is what you bought it for. I'd rather not name the individuals here, but I can walk Donna through it.
- Nell AshcombeSay what happened, say how you know. What we know is that usage is steady and a bit down. What we don't know is whether the other consultants have stopped because it isn't useful or because nobody has shown them recently. We can't tell that from a graph.
- Lynn StaniforthI'd guess the second. We had a couple of people leave the desk side last year and I don't think anyone picked up showing the new ones.
- Daniel OkaforThat's really helpful to hear, Lynn, thank you. That would fit what I'm seeing. So one thing we could offer is a short session for whoever joined recently, no charge, nothing to sign. How is the team finding it generally? Do you hear much from the consultants?
- Terry HinchcliffeDonna hears it. Not me. I hear when something's broken.
- Terry HinchcliffeNobody's said it's broken.
- Daniel OkaforNo, and on the support side that matches. There was a single ticket in the last month, nothing urgent, nothing high priority, and it was dealt with. So quiet in a good way, I think.
- Nell AshcombeTerry, can I ask you the question I'd ask myself? What would B-Viz say if you asked it whether it's worth £19,500 a year to you?
- Terry HinchcliffeHa. Could we do it ourselves? That's what I keep coming back to. Stick the stuff in a spreadsheet.
- Nell AshcombeYou could for a while. I won't pretend otherwise. People do. The trouble tends to come when the spreadsheet needs somebody to keep it up to date and that somebody is a consultant who should be on the phone to a candidate.
- Terry HinchcliffeMm. That's Donna's line, that is.
- Nell AshcombeShe's right, then.
- Lynn StaniforthCan I ask something practical? If we renew, is it the same paperwork as last time? Same order form, new dates? I need to know who signs and who I send the purchase order to.
- Daniel OkaforI'll come back to you on the exact form by the end of this week, Lynn, because I want to check it with our contracts side before I say anything I'd have to take back. The signer is likely to be Terry, as before, but let me confirm that in writing.
- Lynn StaniforthPerfect. And payment terms the same?
- Daniel OkaforI'd expect so, but again, I'd like to put it on the page rather than say it from memory.
- Terry HinchcliffeDon't send me a long email.
- Daniel OkaforUnderstood, Terry. One page. The figure, the dates, what's included. I'll copy Lynn so she has it for the paperwork.
- Nell AshcombeAnd I'll say this plainly. If the sessions with the consultants don't change how much it's used, we should talk about whether Starter is the right shape for you. I'd rather have that conversation honestly than have you pay for something that's sitting there.
- Terry HinchcliffeAppreciate that. Most people don't say it.
- Daniel OkaforShall I put the next steps down, so we're all agreed? First, I'll set up a short session with Donna and whoever is new on the desk, in the next couple of weeks. Second, I'll send a one-page renewal proposal to Terry, copied to Lynn, once I have the figure confirmed, ahead of the contract end on 30 Jul 2025. Third, I'll come back to Lynn on the order form and who signs, by the end of this week.
- Lynn StaniforthThat's all I need.
- Terry HinchcliffeFine. I'll think about it. Talk to Donna.
- Nell AshcombePlease do. Thanks, both. This was useful.
- Daniel OkaforThank you all again for your time. Best wishes, speak soon.
- Lynn StaniforthBye, all.
- Terry HinchcliffeRight. Cheers.
