Quarterly review where Terry Hinchcliffe asked if Starter is worth what they pay. Usage is low but users value it. A job board feed ticket traced to a customer-side change. Renewal is still undecided.

What happened: Daniel Okafor reported a healthy system, one ticket and no overdue invoices, with three or four users in a typical month against fifteen licensed. The ticket was a stale job board feed caused by a change to the customer's export.

Customer view: Donna Wragg said the people who use it like it and the rest have never been shown it. She gave an example where roles, placements and invoices together settled a client dispute in about ten minutes.

Commercial: Nell Ashcombe restated £20k a year and that the order form governs. Terry said he will think about it and would feel better if more of the team used it.

Watch: Terry framed it as paying for fifteen and using four. Adoption is the condition for renewal.

Good morning, and thank you all for making the time. Let me see who has joined. Donna, Terry, and Jodie, lovely. Nell is here too.
  2. Jodie Burkinshaw
    Jodie Burkinshaw
Morning. Sorry, bit of a rush, I've come straight from a system thing with the job boards.
  3. Nell Ashcombe
    Nell Ashcombe
No problem at all. Before we start: what does each of you need to leave with?
  4. Terry Hinchcliffe
    Terry Hinchcliffe
Whether it's worth what we pay. I'll say that now.
  5. Donna Wragg
    Donna Wragg
For me, one of the consultants asked if it can show which clients haven't rebooked. Keep it simple, though.
  6. Jodie Burkinshaw
    Jodie Burkinshaw
And I wanted to ask about the ticket I raised, if we can touch on that.
  7. Daniel Okafor
    Daniel Okafor
Good, I'll make sure we cover all three. Let me start with the picture over the last quarter, and then we'll go to your questions.
  8. Daniel Okafor
    Daniel Okafor
So, overall the system is healthy. The nightly refresh has been landing on time, the connectors are all loading, and you've had just the one ticket in the last month. That's Jodie's, which I'll come to. Nothing overdue on invoices either.
  9. Daniel Okafor
    Daniel Okafor
On usage, I'd be straight with you. Around three or four of you are using it in a typical month, and that's a bit lower than the quarter before. You're licensed for fifteen users, so there's a lot of room that isn't being used.
  10. Terry Hinchcliffe
    Terry Hinchcliffe
Right. So we're paying for fifteen and using four.
  11. Nell Ashcombe
    Nell Ashcombe
That's a fair way to put it, Terry. Say what happened, say how you know. The number of seats in use has dipped. What I can't tell from usage alone is whether that's because the value isn't there or because people don't know it's there. Donna, what's your read?
  12. Donna Wragg
    Donna Wragg
Second one. The people who use it like it. The rest of the consultants are in their own systems all day and nobody's shown them. Does it save my lot time? Yes, for those who use it. The others have never tried.
  13. Terry Hinchcliffe
    Terry Hinchcliffe
    Then why haven't they tried?
  14. Donna Wragg
    Donna Wragg
Because I haven't made them, Terry. I don't make them use anything that slows them down.
  15. Daniel Okafor
    Daniel Okafor
And that's where I think we can help. How is the team finding it, I mean the ones who do use it? Can you give me a recent example?
  16. Donna Wragg
    Donna Wragg
Last month, one of the engineering clients said we'd under-delivered on a run of placements. I asked it for the roles, the placements and the invoices for that client together, and in about ten minutes I could see we'd actually filled most of them. Saved a nasty phone call.
  17. Terry Hinchcliffe
    Terry Hinchcliffe
I remember that one. Fair enough.
  18. Nell Ashcombe
    Nell Ashcombe
That's the sort of thing I'd put in the value case. Not a number, a Monday meeting that went differently.
  19. Jodie Burkinshaw
    Jodie Burkinshaw
Can I do my ticket now? So I raised one about a job board feed that looked out of date. I wasn't sure whether the problem was ours or yours.
  20. Daniel Okafor
    Daniel Okafor
Yes. From what I can see it was a change on your side to how the job board exports its data, and the feed stopped matching. It was sorted after the support team looked at it. I'd just ask, Jodie, that you tell us before you change a source system, even if it feels small.
  21. Jodie Burkinshaw
    Jodie Burkinshaw
Ah. That's on me, then. I didn't think it mattered. I'll send you a note whenever we change anything.
  22. Daniel Okafor
    Daniel Okafor
No blame at all. It was fixed quickly and nobody lost anything. It just helps us catch it before it shows up as stale data.
  23. Terry Hinchcliffe
    Terry Hinchcliffe
Could we do it ourselves? Jodie, you built the monthly pack before.
  24. Jodie Burkinshaw
    Jodie Burkinshaw
I did, Terry, and it took me most of a day each month. It was out of date by the time I'd finished. I'm not keen to go back to that.
  25. Terry Hinchcliffe
    Terry Hinchcliffe
    Hm.
  26. Donna Wragg
    Donna Wragg
On the rebooking question. Is that doable? Which clients haven't come back for a while.
  27. Daniel Okafor
    Daniel Okafor
I think so, yes, as it's the placements and the invoices side by side. Let's do it live at the next session. I'll come back to you by the end of the week with a time and I'll bring a couple of examples from your own data.
  28. Donna Wragg
    Donna Wragg
    Lovely.
  29. Nell Ashcombe

A word on the renewal, since it's close. The term runs to 30 Jul 2024 and the renewal date is 31 Jul 2024. Starter is nineteen and a half thousand a year, and the order form is still what governs. Daniel and I will send you the paperwork shortly.
  30. Terry Hinchcliffe
    Terry Hinchcliffe
What's it costing us, again? Just the one figure.
  31. Nell Ashcombe
    Nell Ashcombe
    £19,500 a year.
  32. Terry Hinchcliffe
    Terry Hinchcliffe
I'll think about it. If more of the team used it I'd feel better.
  33. Daniel Okafor
    Daniel Okafor
That's a good way to frame it, and it's within our gift to help. Just to close the loop: a short training session for the consultants who haven't tried it, run by me with Donna choosing the group. Would that suit?
  34. Donna Wragg
    Donna Wragg
Yes. Half an hour, keep it simple. I'll pick the group.
  35. Jodie Burkinshaw
    Jodie Burkinshaw
I'll sort the rooms and the calendar invites. Tell me the slots.
  36. Daniel Okafor
    Daniel Okafor
Thank you, Jodie. So, next steps: I send Donna the slots and the rebooking example by the end of the week, Jodie lets us know about system changes, and Terry has the paperwork from Nell and me to think over.
  37. Terry Hinchcliffe
    Terry Hinchcliffe
    Fine. Thanks.
  38. Nell Ashcombe

Thanks all. Best of luck with the warehouse hiring.
