What was said
What this says
As at Fri 9 Oct 2026Managing director Terry Hinchcliffe joined and asked about cost and whether Sprotbrough could build this itself. Usage is up and fewer calls reach Donna. He wants a one-page case before the Starter renewal on 31 Jul 2024.
What happened: Daniel Okafor and Nell Ashcombe ran the 11 Dec 2023 quarterly review with Donna, Terry and Jodie Burkinshaw. Terry opened with cost and whether the company could do it itself. Jodie asked about the refresh and user setup.
Customer view: Donna said the warehouse desk no longer rings her about late-paying clients, and put the fall at about half but called it a feeling, not a number. Terry asked what it saves in hours and nobody could say.
Commercial: Nell confirmed Starter at £20k a year, paid on time, term to 30 Jul 2024. Terry said he would think about the one-page summary, so no decision was made.
Watch: Terry has no savings figure yet. The build-it-ourselves question was answered, but he did not say whether he accepted it.

Next steps
As at Fri 9 Oct 2026- Daniel Okafor to send the one-page summary of use, users and cost, with consultant comments from Donna in their own words.
- Daniel to offer the engineering desk a short session and come back with a date.
- Jodie Burkinshaw to tell Daniel if the morning data ever looks old.
Risks
As at Fri 9 Oct 2026- Terry is weighing cost and a do-it-ourselves option, and has no hours-saved figure to set against the Starter fee.
- Value rests on Donna's impression that calls have roughly halved, which she called a feeling, not a number.
Opportunities
As at Fri 9 Oct 2026- Engineering could be brought in with a short chat-based session on their own clients.
Transcript
- Daniel OkaforHello everyone. Thank you all for your time. Let me just check who's joined. Donna, Terry, Jodie, and Nell from our side as well. Lovely.
- Terry HinchcliffeWhat's it costing us, this one? Is it on the agenda?
- Nell AshcombeIt is, Terry, we'll get to it. First, what does each of you need to leave with? I'd rather aim at that than at our slides.
- Donna WraggConsultants first. They've been telling me it's easier to find things now, so I want to know we're not missing a trick. And keep it simple.
- Jodie BurkinshawFrom me, I'd like to understand the refresh. When the data updates and what to do if it looks old. And whether I'm setting up users the right way.
- Terry HinchcliffeCost. And could we do it ourselves. That's it.
- Nell AshcombeGood, all fair questions. Daniel, over to you for the usage picture, and I'll come in on the rest.
- Daniel OkaforThanks, Nell. So the headline is that this quarter has been a good one. More of your people are in B-Viz than at the last review, and they come back day after day. It's up by a big margin on the quarter before, which is a lovely thing to see for a team of your size.
- Terry HinchcliffeBig margin from what? From nothing?
- Daniel OkaforHa, fair challenge. From a low start, yes. It was a handful of people in the summer. Now it's a regular group, a few every day, which for an agency your size is most of the people who'd actually benefit.
- Donna WraggIt's the warehouse desk mostly. And the driving team are coming round. Engineering still do their own thing.
- Nell AshcombeThat matches what we see. What would B-Viz say? It says the questions are about clients, roles and invoices. Nobody's asking it to do anything fancy, they're asking it the questions they used to ring you about, Donna.
- Donna WraggThat's exactly it. They used to ring me about which client was behind. Now they just look.
- Terry HinchcliffeSo fewer calls to you.
- Donna WraggFewer calls, yes. I'd say about half, but don't hold me to that. It's a feeling, not a number.
- Nell AshcombeSay what happened, say how you know. I like that you've said it's a feeling. We'd rather have that than a made up figure.
- Jodie BurkinshawCan I ask about the refresh? Some mornings I wasn't sure if the numbers were from yesterday or the day before.
- Daniel OkaforGood question, Jodie. The data is refreshed overnight, and it should be ready before the working day starts. If you ever open it first thing and something looks old, send me a note straight away and I'll look at it. Just so you know, there haven't been any tickets from you, so I haven't seen a problem on our side.
- Jodie BurkinshawRight. Maybe it was me looking too early. I'll check it again and tell you if it happens.
- Daniel OkaforPlease do. And on users, you're doing it correctly. You're well within the fifteen licensed users, so add people whenever you need to. No need to ask first.
- Jodie BurkinshawBrilliant, that's easier than I thought.
- Terry HinchcliffeRight. Cost.
- Nell AshcombeYes. You're on Starter at £19,500 a year, fifteen licensed users. The order form and what's been invoiced agree, nothing is outstanding, and you've paid on time. The term runs to 30 Jul 2024, with renewal on 31 Jul 2024. That's well over half a year away.
- Terry HinchcliffeCould we do it ourselves? Build something.
- Nell AshcombeYou could try. Honestly, it depends who'd look after it. Someone would need to connect the systems, keep them connected when they change, and fix it when it breaks. If that's one of your people, it's their time away from candidates.
- Donna WraggAnd that's not Jodie. She's got a job.
- Jodie BurkinshawI really do. Please don't give me that.
- Terry HinchcliffeHm. What does it save? In hours. Roughly.
- Donna WraggI can ask the desks. I wouldn't want to make up a number for you, Terry. But I can tell you the warehouse lot don't ring me any more.
- Daniel OkaforIf it helps, I can put a one page summary together before the summer. What you use, who uses it, what you pay. Donna can add what the consultants tell her, in their own words.
- Terry HinchcliffeOne page. Good. I'll think about it.
- Nell AshcombeThat's fair, and there's no rush. We'd like you to look at it properly and decide with the facts in front of you.
- Donna WraggCan I ask something else? The engineering desk. Is there a way to get them in without a big fuss?
- Daniel OkaforI think so. A short session on their own clients, nothing formal. How is the team finding the chat compared with the search?
- Donna WraggChat, every time. Search is for me.
- Daniel OkaforThen I'd build the session around the chat. I'll come back to you with a date that suits their week.
- Nell AshcombeBefore we go, anything that isn't working? I'd rather hear it now than in the summer.
- Terry HinchcliffeNot from me.
- Jodie BurkinshawNothing. Just the refresh check.
- Donna WraggNope. Quiet is good.
- Daniel OkaforThen just to close the loop. I'll send the one page summary, Jodie will tell me if the morning data ever looks old, and I'll offer the engineering desk a short session. Anything I've missed?
- Donna WraggThat's the lot.
- Nell AshcombeThank you all. Good to see it being used the way we hoped. Speak soon.
- Terry HinchcliffeRight. Bye.
