What this says
As at Fri 9 Oct 2026First onboarding call with Quabbin's sponsor relations and clinical data leads. Sources, per-person access and SSO were agreed. The study management system is not on a standard connector list, so its timing is open.
What happened: Hamza Akhtar walked Meredith Sullivan and Rachel Feldman through connector order, access groups and training. Hollie sent apologies, so Hamza ran it alone.
Customer view: Meredith wants one portfolio view per sponsor and a hard line between sponsors. Rachel named access as her biggest worry.
Commercial: Quabbin is on Enterprise, so SSO and SCIM are in scope. Study management is the one source with no committed timing, and the order form carries a live-within-N-days commitment on connectors.
Watch: Rachel did not know who owns the study management export. Hamza would not promise a date until she finds out.

Follow-up
Next steps
As at Fri 9 Oct 2026- Rachel to find the study management export owner and send the people, teams and sponsors list.
- Rachel to name a security contact for the SSO set-up.
- Hamza to build the groups, start the CRM and accounting connections and send a recap.
Risks
As at Fri 9 Oct 2026- Study management has no standard connector and its export owner is unknown, so the connector commitment in the order form may be at risk.
- Access scoping for staff who cover several sponsors is untested and is Rachel's main worry.
Opportunities
As at Fri 9 Oct 2026- Sponsor relations wants a single view per sponsor, which suits Enterprise and could widen use across the account leads.
Transcript
- Hamza AkhtarHi both, can you hear me alright? Good afternoon from London.
- Rachel FeldmanLoud and clear. Hi Hamza. It's still very much morning over here, so be gentle.
- Meredith SullivanHi, sorry, I'm on my phone for a minute, the laptop decided to update right before the call. Give me one second. Okay. I'm in. Can you hear me?
- Hamza AkhtarYes, perfect. No rush at all. Hollie sends her apologies, by the way, she's tied up today, so it's just me this time. She's been copied on everything and she'll pick up the notes.
- Meredith SullivanThat's fine. Quick sponsor update before we dive in, if that's okay. Two of our sponsors have been asking what we're doing about visibility across their studies, so honestly this is good timing. One portfolio, one story. That's what I keep saying to them.
- Hamza AkhtarThat's exactly what we want to get you to. So the plan for today is quite practical. I want to walk through which systems we connect first, who owns each one on your side, and how we keep each sponsor's information properly separated. Then training, and what the next few weeks look like. Does that sound right?
- Rachel FeldmanYeah. Can I add one thing to the list? Access. Who sees what. That's my biggest worry, if I'm honest.
- Hamza AkhtarAbsolutely, we'll make that the middle of the call. Let me share my screen. Can you see the onboarding plan?
- Rachel FeldmanYes. A bit small. Okay, that's better.
- Hamza AkhtarRight. So you're on Enterprise, which means the whole company is in scope, up to one hundred and fifty licensed users, with single sign-on and SCIM included. B-Viz is built and runs inside your own Snowflake account, so none of your data leaves your environment. Everything we do today is about getting the right sources feeding into that.
- Meredith SullivanWhich is the part our sponsors' quality teams love, by the way. Their data stays with us.
- Hamza AkhtarExactly. So, sources. From the order form and our earlier conversations, I've got the CRM first, because sponsor relationships hang off it. Then the call recorder, the shared mailboxes, the helpdesk, and the accounting system, so your finance team can see invoices next to the studies. Have I missed anything you expect on day one?
- Rachel FeldmanStudy management. The trial management system. That's where the study status lives, and honestly that's what the sponsor teams ask me about every week.
- Hamza AkhtarRight, and that one is not on a standard connector list, so I want to be careful with it. Can you tell me how the data comes out of it today? Is there an export, a database, an API?
- Rachel FeldmanMm. Nightly export to a file location, I believe. There's also a reporting database but I'd have to check who has the keys to it. I think that sits with a colleague in IT.
- Hamza AkhtarOkay, that's useful. Could you find out which of the two is the more reliable one, and who owns it? That decides whether we land it in a few days or a few weeks, so I don't want to promise anything until we know.
- Rachel FeldmanYes. I'll ask this week. Sorry, I should know this already.
- Hamza AkhtarNo, nobody does until they ask. It's the most common thing we hit.
- Meredith SullivanCan I ask what the sponsor teams will actually see once it's up? Because I'm already thinking about what I tell them. What does the sponsor know, and when?
- Hamza AkhtarGood question. In practice, a person on the sponsor relations team can open a page for one sponsor and see its studies, open issues, recent calls and emails, and what's been invoiced, all together. They can also just ask in chat, something like what's the latest on open issues for this sponsor. It answers from your own records and shows where it got it.
- Meredith SullivanAnd it would never mix in another sponsor's material. That's a hard line for me.
- Hamza AkhtarUnderstood. That's the access piece, so let's do it now. Rachel, you're the admin, so this is mostly yours. We set up groups by team, sponsor relations, study management, finance, and then we scope what each group can see. We can also scope by sponsor where you need it. Do you have a view on how that should work?
- Rachel FeldmanI have a view and I'm not sure it's the right one. Basically each account lead sees only their own sponsors, and the study teams see only the studies they run. Finance sees invoices for everything. But some people cover more than one sponsor, so it gets messy.
- Meredith SullivanIt does. A couple of my team cover several. As long as it's by person and not by whole department, I'm fine.
- Hamza AkhtarOkay, so I'd suggest this. You send me a simple list: person, team, which sponsors they cover. I'll build the groups from that and we'll review it together before anyone is invited. And single sign-on goes in first, so nobody gets in without going through your identity provider.
- Rachel FeldmanOur security team will want to be on that. They've already done the review with you, so they know the setup, but they'll want to see the SSO config.
- Hamza AkhtarFine. Ask them for a contact and I'll send the details of what we need from them. It's a short list.
- Meredith SullivanLet's get ahead of it. I'd rather they hear it from us than find a gap later.
- Hamza AkhtarAgreed. Okay, timing. We said the connectors in your order form would go live within the commitment in the contract, so I'm working to that. The CRM and the accounting system should be the quickest, then the call recorder and mailboxes, then the helpdesk. Study management is the open one.
- Rachel FeldmanOkay. And the first full refresh, when would we expect to see real data?
- Hamza AkhtarOnce the CRM is live, you'll see it the next morning. Everything refreshes overnight and it's complete before seven, your local time, on business days. The first week it may need a little tidying, duplicates, odd naming, that kind of thing. That's normal.
- Meredith SullivanDuplicates. Oh, we have those. Sponsors with two or three spellings.
- Hamza AkhtarEveryone does. We'll flag them and you decide which is the real one. Please don't fix them in the CRM first, just let us show you the list.
- Rachel FeldmanOkay. That's a relief, I was going to spend my weekend on it.
- Hamza AkhtarPlease don't. Right, training. I'd propose a short session for the sponsor relations team first, because they're closest to the value, then one for study management, then finance. Meredith, who should be there from your side?
- Meredith SullivanMe, obviously, and the account leads. I'd like them to see it with a real sponsor, ours, not a demo one. Is that doable?
- Hamza AkhtarYes, as long as the CRM and the mailboxes are in by then. I'd rather wait a few days than train people on half the picture.
- Meredith SullivanAgreed. I won't promise them a date until you tell me it's ready.
- Hamza AkhtarThat's wise. I'll message you the moment the CRM is live.
- Rachel FeldmanOne more admin thing. We've got two tickets open already, just small things from setup. Do I raise those with you or with Hollie?
- Hamza AkhtarRaise them in the helpdesk as you did, I can see them. They're being looked at. Anything that blocks the connectors, tell me directly as well, so I'm not waiting for the queue.
- Rachel FeldmanWill do.
- Meredith SullivanOkay. I think that's everything on my side. Hamza, can you send a recap, who does what?
- Hamza AkhtarYes, today. Rachel finds out who owns the study management export and sends me the list of people, teams and sponsors. Rachel also gets me a contact in security for the SSO set-up. Meredith, you confirm who comes to the first training. I'll build the groups, start the CRM and accounting connections, and write all of that up.
- Rachel FeldmanGreat. Thanks, Hamza.
- Meredith SullivanThanks, both. Speak soon.
- Hamza AkhtarCheers, bye for now.
