Onboarding call on connectors and access. IT has created the Snowflake role and warehouse, the CRM is loading, and the helpdesk is next. Meredith needs a plain account of how sponsor separation works.

What happened: Rachel confirmed IT created the role and warehouse. Hamza said the CRM is connected and loading and wanted to switch on the helpdesk that day, with Rachel approving the token.

Customer view: Meredith asked how sponsors are kept apart and liked the answer: test first, invite second. Rachel is nervous about inconsistent sponsor names in the study-management export.

Commercial: Rachel asked about starting with a small group, and Hamza said the 150-user licence is a ceiling, not a target. Starting small means early user numbers will be low.

Watch: Hamza would not commit a date for the call recorder connector. Dependencies on Rachel's mapping answers and SSO and SCIM remain.

Follow-up

Next steps

As at Fri 9 Oct 2026
  • Rachel Feldman to approve the helpdesk access on the day of the call.
  • Hamza Akhtar to send the security summary and the list of unresolved mapping questions.
  • Meredith Sullivan to choose the pilot group that week.

Risks

As at Fri 9 Oct 2026
  • Unresolved sponsor names in the study-management mapping could slow that connector.
  • No date is committed for the call recorder, which Meredith's team wants early.

Opportunities

As at Fri 9 Oct 2026
  • Meredith's team is keen to pilot and wants call data early, which could drive early adoption of the Enterprise tier.

  1. Hamza Akhtar
    Hamza Akhtar
Hi both. Can you hear me? I've got a slightly flaky connection today, so shout if I freeze.
  2. Rachel Feldman
    Rachel Feldman
Hear you fine. Hi. Meredith's just coming in.
  3. Meredith Sullivan
    Meredith Sullivan
Here, here. Sorry, I was on with a sponsor. Everything's fine, they just wanted a status. Which, funnily enough, is exactly what we're here to fix.
  4. Hamza Akhtar
    Hamza Akhtar
Ha, yes. It's late on my side, so I'll try to keep this tight. Today is about connectors and access. Rachel, did you get to speak to your colleague in IT?
  5. Rachel Feldman
    Rachel Feldman
I did. They created the role and the warehouse you asked for. I've sent you the details in a message just before this call. They want to know what the service is allowed to read.
  6. Hamza Akhtar
    Hamza Akhtar
Good, I saw it come in. Read-only on the source schemas, and write access only to the schema we build in. I'll put that in a one-page summary for their security people.
  7. Rachel Feldman
    Rachel Feldman
That would help a lot. They like things in writing.
  8. Meredith Sullivan
    Meredith Sullivan
Hamza, can I check one thing? When this goes live, nobody on one sponsor team can ever see another sponsor's data. How does that work technically? I need to be able to say it plainly.
  9. Hamza Akhtar
    Hamza Akhtar
Plainly: access is set by role, and the roles follow the groups in your identity system once SSO and SCIM are connected. A person only gets the sponsors their group is assigned to. Rachel owns those assignments, we build the mechanism.
  10. Rachel Feldman
    Rachel Feldman
So I'd keep a table of sponsor to group, and you'd read from that.
  11. Hamza Akhtar
    Hamza Akhtar
Exactly that. And we test it before anyone is invited. We log in as a made-up user in one group and check they see nothing from the others.
  12. Meredith Sullivan
    Meredith Sullivan
I like that. Test first, invite second. Let's get ahead of it rather than apologise later.
  13. Hamza Akhtar
    Hamza Akhtar
Right. On connectors, the CRM is connected and loading. The helpdesk is next, and I'd like to switch that on today if you can approve the access.
  14. Rachel Feldman
    Rachel Feldman
Approve, yes. The helpdesk admin is on my side, I can do the token now. Give me a minute after the call.
  15. Hamza Akhtar
    Hamza Akhtar
Fine. Then the accounting system. Who sees invoices at the moment?
  16. Meredith Sullivan
    Meredith Sullivan
Finance. Only finance. My team wants to see whether a sponsor is up to date, not the detail of every line.
  17. Hamza Akhtar
    Hamza Akhtar
That's a good distinction. We can expose a status view, paid or overdue, to sponsor relations, and keep the line detail for finance. Rachel, would that work with your groups?
  18. Rachel Feldman
    Rachel Feldman
It would. Two views, two groups. I'll write that down. I'm slightly nervous about the study-management side, though. The export I sent had sponsors named inconsistently, you saw.
  19. Hamza Akhtar
    Hamza Akhtar
I did. It's workable. I've drafted a mapping and there are a few I can't resolve, so I'll send you the list. You tell me which is which, and we won't guess.
  20. Rachel Feldman
    Rachel Feldman
Please do. If it's a short list I can turn it round in a couple of days.
  21. Meredith Sullivan
    Meredith Sullivan
And the call recorder? My team will want that early. Calls are where we find out what the sponsor is worried about.
  22. Hamza Akhtar
    Hamza Akhtar
It's in the plan straight after the accounting system. I won't commit to a date today until the first two are stable, but it's next in the queue.
  23. Meredith Sullivan
    Meredith Sullivan
That's fair. I'd rather have it right than fast.
  24. Rachel Feldman
    Rachel Feldman
Quick question on users. We're licensed for one hundred and fifty, but I only want a small group on day one. Is that okay?
  25. Hamza Akhtar
    Hamza Akhtar
Absolutely. The licence is a ceiling, not a target. Start with the sponsor relations pilot, add people when you're comfortable. Hollie can help with the training side.
  26. Meredith Sullivan
    Meredith Sullivan
Good. My team will be the guinea pigs. I'll pick the people this week.
  27. Hamza Akhtar
    Hamza Akhtar
Lovely. So, to recap. Rachel approves the helpdesk access today. I send the security summary and the mapping questions. Rachel returns the mapping. Meredith chooses the pilot group. Does that match what you have?
  28. Rachel Feldman
    Rachel Feldman
    Matches mine.
  29. Meredith Sullivan
    Meredith Sullivan
    Same. Thanks, Hamza. Thanks, Rachel.
  30. Hamza Akhtar
    Hamza Akhtar
    Thanks both. Speak soon, cheers.
