Kickoff for Astley Brook after the contract was signed on Fri 6 Mar 2026. Aims are to connect ERP, complaints and invoices, agree owners, and name a second admin. Amara Obi is the new CSM.

What happened: Amara introduced herself as new to the account, and Laura Penhaligon set out the eight-week fixed implementation. Leanne Partington said success is seeing orders, complaints and invoices for a brand together.

Customer view: Sajid Iqbal called the old ERP awkward but can supply a nightly extract from a batch job around midnight. Leanne noted one plant logs things slightly differently.

Commercial: Amara stated the subscription is £48k a year, the term runs to 5 Mar 2027 and renewal falls on 6 Mar 2027. Growth includes eight connectors, forty users and quarterly reviews, and Douglas Entwistle may be a light user.

Watch: Sajid is the only admin so far and must come back on a second one. The ERP extract and Snowflake permissions decide the timeline.

Follow-up

Next steps

As at Fri 9 Oct 2026
  • Laura Penhaligon sends the Snowflake checklist the same day and a draft plan by the end of the week.
  • Sajid Iqbal looks at the ERP extract and the two plants, and confirms a second admin by the end of the following week.
  • Amara Obi sends a written summary with owners and dates, plus an invite for the first quarterly review.

Risks

As at Fri 9 Oct 2026
  • Sajid Iqbal is the only admin so far, which is a key-person risk until a second admin is named.
  • The old ERP extract and Snowflake permissions could delay the roughly eight-week build.
  • Plant differences in logging may complicate field mapping and data checks.

Opportunities

As at Fri 9 Oct 2026
  • A clear first use case for customer service, credit and key accounts gives a measurable value story ahead of the first renewal.
  • Setting up Douglas Entwistle as a user and booking the first quarterly review early supports adoption and the renewal conversation.

Hello everyone, can you hear me? Great. Let me start by introducing myself properly. I'm Amara, I'm the customer success manager for Astley Brook. I'm new to your account, so I'm not going to pretend I've been on the journey with you so far, but Sophie has handed over really clearly.
  2. Leanne Partington
    Leanne Partington
Hi Amara. Nice to meet you properly. Yes, Sophie said you'd be taking it from here.
  3. Laura Penhaligon
    Laura Penhaligon
And I'm Laura, I'm the implementation consultant. I'll be running the build with you day to day. Hello, Sajid, I think we've only swapped emails so far.
  4. Sajid Iqbal
    Sajid Iqbal
Yes, hello. Sajid. I look after the ERP and the data side here. Sorry, I'm slightly out of breath, I've come straight from the plant.
  5. Amara Obi
    Amara Obi
No problem at all. It's a bit before lunch, so we'll try to be efficient. The contract was signed on Friday 6 March 2026, so welcome, and congratulations on getting this far. Leanne, I always like to ask first: what does good look like for you this quarter?
  6. Leanne Partington
    Leanne Partington
Honestly? Last week a brand rang about a short delivery and I had to ask three people for the answer. If I can pick up the phone and see the orders, the complaints and the invoices for that brand together, that's good. Which brand, which line, what did the customer see.
  7. Amara Obi
    Amara Obi
That's very clear, thank you. That's exactly the sort of thing we can measure. Here's what I'd like to do on this call. One, agree the sources we connect first. Two, agree who owns what on your side. Three, talk about who gets access. And four, get dates in the diary.
  8. Laura Penhaligon
    Laura Penhaligon
And before we dig in, a quick word on how B-Viz works, because it helps with the source question. It's built inside your own Snowflake account, so your data stays with you. We connect your systems, we load them every night, and then people ask questions in plain English.
  9. Sajid Iqbal
    Sajid Iqbal
Right, that's what I wanted to check. So I'd need to have a Snowflake account ready?
  10. Laura Penhaligon
    Laura Penhaligon
Yes, and we'll take you through exactly what we need. It's mostly permissions for a service user. I'll send you a short checklist after this call so you can show your IT colleagues.
  11. Sajid Iqbal
    Sajid Iqbal
Okay. Good. Because I've got a colleague in IT who will want to see that in writing before he touches anything.
  12. Laura Penhaligon
    Laura Penhaligon
Totally understand. It will be in the checklist.
  13. Amara Obi
    Amara Obi
Let's talk sources. Growth includes eight connectors. Leanne, from what Sophie shared, you want orders, complaints and invoices together. Is that still the right starting point?
  14. Leanne Partington
    Leanne Partington
Yes. Orders come out of the ERP, complaints we log in the customer service system, and invoices sit in the accounting system. Credit and key accounts all use those three.
  15. Sajid Iqbal
    Sajid Iqbal
The ERP is the awkward one. It's quite old and the reporting tables are a bit of a maze. I can export a clean extract, but I'd want to agree the shape of it with you first.
  16. Laura Penhaligon
    Laura Penhaligon
That's useful to know. Is a nightly extract possible, or is it only available during the day?
  17. Sajid Iqbal
    Sajid Iqbal
Nightly would be fine. It runs a batch job around midnight. I'd just have to make sure it finishes before you pick it up.
  18. Laura Penhaligon
    Laura Penhaligon
That works. Our refresh is meant to be complete by 07:00 your time on business days, so we can fit around your batch. Let's say we plan for that and test it.
  19. Sajid Iqbal
    Sajid Iqbal
    Yes, I think that's fine.
  20. Leanne Partington
    Leanne Partington
Can I ask something practical? The plants are not all running the same way. One of the sites logs things slightly differently. Will that matter?
  21. Laura Penhaligon
    Laura Penhaligon
It might, and it's better to know now. We'll look at that when we map the fields. Sajid, could you note down where the two plants differ?
  22. Sajid Iqbal
    Sajid Iqbal
Yes, I can do that. I'll write down what I know and flag what I'm not sure about.
  23. Amara Obi
    Amara Obi
Brilliant. Who else should have access? Growth includes forty licensed users, so there's plenty of room. Leanne, who's on your list?
  24. Leanne Partington
    Leanne Partington
Customer service, obviously. The key account managers. Credit control. Douglas, our finance director, will want to look at it, though I'd say he's more likely to ask somebody else to pull things for him.
  25. Amara Obi
    Amara Obi
That's common with finance directors, and it's fine. We can set him up anyway so it's there when he wants it.
  26. Leanne Partington
    Leanne Partington
He'll say yes to that, as long as it's in writing.
  27. Amara Obi
    Amara Obi
Noted, I'll send it in writing.
  28. Laura Penhaligon
    Laura Penhaligon
On owners: Sajid, I'm assuming you're the technical admin. Leanne, you're the business owner who tells us whether what we've built is useful.
  29. Sajid Iqbal
    Sajid Iqbal
Yes, that's right. I'd be the admin.
  30. Amara Obi
    Amara Obi
One thing I'd gently raise: it's good practice to have a second admin, so that if you're away or move on, someone else can look after it. Could we pick someone?
  31. Sajid Iqbal
    Sajid Iqbal
Hm. There's one other person in the team who knows the data. I'd have to ask him. I'll come back to you on that.
  32. Amara Obi
    Amara Obi
Perfect. By the end of next week, if you can.
  33. Sajid Iqbal
    Sajid Iqbal
    I can do that.
  34. Laura Penhaligon
    Laura Penhaligon
Let me talk about the shape of the work. The implementation is a fixed piece of work over eight weeks. First we connect and load the sources, then we check the data against things you know to be true, then we build the pages and the questions that matter to customer service and credit, and then we train people.
  35. Leanne Partington
    Leanne Partington
Eight weeks. So we'd be using it properly by the middle of May, roughly.
  36. Laura Penhaligon
    Laura Penhaligon
Roughly, yes, as long as access and the extracts come through when we need them. That's the part that usually decides it, not the build itself.
  37. Sajid Iqbal
    Sajid Iqbal
So the extracts are the thing to get right first.
  38. Laura Penhaligon
    Laura Penhaligon
Exactly. If we get the ERP extract and the Snowflake permissions in the first couple of weeks, everything else is much easier.
  39. Amara Obi
    Amara Obi
Let me add something from the customer success side. After go-live, I'll look at how the product is being used, who's asking questions and what they're asking. On Growth you also get quarterly reviews with me. I'd like to get the first one in the diary now, so it doesn't drift.
  40. Leanne Partington
    Leanne Partington
That's fine by me. Let's get it in the diary.
  41. Amara Obi
    Amara Obi
Great. And just so everyone knows where things stand: the subscription is £47,500 a year, the term runs to 5 Mar 2027, and renewal falls on 6 Mar 2027. I'll be in touch well before that, so there are no surprises.
  42. Leanne Partington
    Leanne Partington
Sorry, I don't get involved in price, that's Douglas. But thank you for being open about it.
  43. Amara Obi
    Amara Obi
Of course. I only say it so you know I'm thinking about the whole year, not just the first few weeks.
  44. Laura Penhaligon
    Laura Penhaligon
Right. Shall we agree next steps? I'll send the Snowflake checklist today and a draft plan by the end of the week. Sajid, you look at the ERP extract and the two plants, and confirm the second admin.
  45. Sajid Iqbal
    Sajid Iqbal
Yes. And I'll ask my IT colleague about the Snowflake side as soon as I've seen the checklist.
  46. Leanne Partington
    Leanne Partington
And I'll send you the list of people who should have access, with their jobs, so you can tell me if it's too many.
  47. Amara Obi
    Amara Obi
It won't be. And I'll send a written summary of today with the owners and the dates, plus an invite for the first review. Anything else before we stop?
  48. Leanne Partington
    Leanne Partington
No, I think that's everything. Thanks, all.
  49. Sajid Iqbal
    Sajid Iqbal
    Thanks. Speak soon.
  50. Laura Penhaligon
    Laura Penhaligon
    Thanks, everyone. Cheers.

Best of luck with the plants this afternoon, Sajid. Bye for now.
