What the paper says
Document roll-up
As at Fri 9 Oct 2026All three Gilberdyke Freight documents were read: a security questionnaire and two Growth proposals from Oct 2023. None is executed, so no contracted price or terms are on file. The draft and final proposals differ on the first-year price split, service levels and billing.
Executed: no document for Gilberdyke Freight has a stored status of executed, so there are no contracted price, dates or service levels on file. The roll-up covers all three documents held, and all three were read.
Open items: the Growth proposal of 18 Oct 2023 is stored as final, but it is an unsigned proposal, not an order form. The earlier proposal of 13 Oct 2023 is a draft, and both were written by Tom Ashdown.
Contradictions: the two proposals disagree on several points, and the customer may rely on either one.
- Price: the 13 Oct 2023 draft splits £12k implementation from a £44k year one subscription. The 18 Oct 2023 proposal quotes £56k as one first-year figure that includes implementation, then £44k a year from year 2.
- Service levels: the draft states no availability or P1 figures. The 18 Oct 2023 proposal states 99.5% availability, a 1 business hour P1 response and a 10% service credit for availability breaches.
- Billing and notice: the draft says first payment is due on signing and requires thirty days' notice to cancel at renewal. The 18 Oct 2023 proposal bills in advance on each anniversary of the start date and states no renewal trigger.
Commitments: no live obligations can be drawn from executed paper. The security questionnaire of 28 Sep 2023 is a statement of practice, not a contract. It states that BG-Demo keeps no separate backups and gives no incident notification timeframe.
Gaps: the documents do not show an order form, a signatory, a start date or the tier actually contracted. Finance should check the invoices, and the account lead should locate any executed order form before the renewal. The security answers date from 28 Sep 2023 and may be stale.
