What this says
As at Fri 9 Oct 2026Logistical thread. Tom Ashdown asks for a negotiation slot. Sarah Dodds offers Tuesday or Thursday at 10:00 or 14:00, and says commercial questions affecting bid comparison must go through the portal.
Ask: Tom wants the session booked, with Theo attending and a short list of commercial areas beforehand. He will not quote numbers until confirmed with his team.
Customer view: Sarah requires the session inside the published evaluation timetable. She wants a preferred slot by noon the next day and will not take questions off the record.
Next: Reply with a slot. The thread does not show whether Tom replied, and negotiation of terms is a stage reached, not an award.

- Tom Ashdown 5 Oct 2026 13:53Hi Sarah, Hope your week's off to a decent start. Following our recent call, I wanted to get the negotiation session in the diary so neither of us is chasing it at the last minute. I'd suggest a morning, as that tends to suit people better, but we can flex. I'll bring Theo along in case any of the security points come up, and I assume Anil may want to join for those. Please tell me who from your side you'd like in the room. One thing to flag: I won't quote any numbers until I've confirmed them with our team, so if there are particular commercial areas you want covered, a short list in advance would help me come prepared. I know you'll want that going through the portal if it counts as a clarification, so tell me how you'd like to handle it. Let's get something in the diary. Leave that with me once you've told me what works. Best, Tom
- Sarah Dodds 6 Oct 2026 16:29Dear Tom, Thank you for your note. The negotiation stage sits within the published evaluation timetable, so the session must take place inside that window. I can offer a Tuesday or a Thursday, at 10:00 or 14:00. Please reply with your preference and I will send the invitation. On attendance: Anil will join for any security items, and Theo is welcome to attend. I will confirm our full attendee list with the invitation. On the commercial areas you mention, any question that could affect how bids are compared needs to be submitted through the portal, and all bidders will see the answer. Points that are purely about the logistics of the session may be agreed by email. I cannot take questions off the record, and I am unable to comment on any other bid. Please send your preferred slot by noon tomorrow so that I can hold it. Kind regards, Sarah Dodds
