What it says
What this says
As at Fri 9 Oct 2026Final renewal proposal dated 25 Nov 2025 for a two-year Growth renewal with four blocks of ten additional users, 80 named users and annual billing in advance. It states no fee for the new term and is not a contract. The current term ends 16 Jan 2026.
What it is: a renewal proposal from Tom Ashdown to Malcolm Hebden, Chief Financial Officer, for the term after the one ending on 16 Jan 2026. It says the current term has "80 licensed users" and a contracted figure of £56k.
Commits: it describes a two-year term billed annually in advance, with the price fixed for the term and "no mid-term uplift". Service levels stay at Growth tier, including the nightly refresh complete by 07:00 UK time on business days.
Unusual: no discount is assumed, and a shorter term "would not carry the same price protection". The board is offered fewer additional users or a shorter term as alternatives.
Not settled: the proposal states no fee for the new term and gives no availability or P1 figures. It says it is "not a contract", and the evidence does not show whether an order form was signed. It is stale against the 9 Oct 2026 as-of date.

Kelbrook Mutual Insurance - Renewal Proposal
Prepared for: Malcolm Hebden, Chief Financial Officer, Kelbrook Mutual Insurance Prepared by: Tom Ashdown, Account Executive, BG-Demo Customer success manager: Marcus Bell Date: 25 Nov 2025 Status: Final
1. Why we are writing
Kelbrook Mutual Insurance joined B-Viz on Wednesday 17 January 2024 on the Growth tier, on a two-year term. That term ends on 16 Jan 2026. This proposal sets out what we recommend for the next term, what it commits Kelbrook to, and for how long, so that the decision can be taken properly and in good time, with the board where that is needed.
The contracted annual recurring revenue for the current term is £56k, with 80 licensed users. Those are the base figures every comparison in this document starts from.
2. What the last two years have delivered
B-Viz was bought so that member services, underwriting and claims could see each member's policies, claims and calls together, in one place, inside Kelbrook's own Snowflake account. The recent picture is encouraging:
Read the whole document (5,376 characters)
- Adoption is growing. The average number of active users over the last thirty days is up sharply on the prior quarter, which suggests more of the three teams are now asking B-Viz rather than reconciling systems by hand.
- Support is quiet. There has been one ticket in the last thirty days, none of them high priority.
- Billing is clean. There are no overdue invoices on the account.
We would not claim more than this. Usage tells us people are coming back; it does not by itself prove the value to members. Marcus Bell can walk your team through the questions asked and the dashboards built, so that the value case is written in Kelbrook's own terms.
3. What we propose
We propose a renewal on the same tier, with the user numbers kept in line with what is licensed today.
| Item | Proposal |
|---|---|
| Tier | Growth |
| Additional users | Four blocks of ten additional users, added to the Growth user allowance |
| Named users | 80 |
| Term | Two years (twenty-four months), starting the day after the current term ends on 16 Jan 2026 |
| Billing | Annually in advance |
| Connectors | As today, within the Growth connector limit |
| Reviews | Quarterly business reviews, as part of Growth |
The fee has two parts: the Growth subscription, and the four blocks of ten additional users at the add-on rate. The renewal order form will show each part on its own line, with the annual total, so that the base of every figure is visible. We will confirm the exact amounts in writing alongside the order form and will not ask you to rely on a figure quoted from memory.
4. What it commits Kelbrook to
You asked what has changed since the last order form, and what a new one commits Kelbrook to over the full term. Plainly:
- A two-year commitment, invoiced annually in advance, on the standard payment terms.
- The price is fixed for the term. The annual fee in the order form is the annual fee for both years. There is no mid-term uplift.
- Users and connectors stay within the Growth limits plus the four additional user blocks. Anything beyond that would be a separate, agreed change and not an automatic charge.
- Service levels stay those of the Growth tier: the standard availability commitment, the Growth priority response time, and the nightly refresh complete by 07:00 UK time on business days.
- No discount is assumed. Any first-term discount ended with the first term, and none is built into this proposal.
We recognise that Kelbrook plans in multi-year cycles and that this is members' money, not ours. A two-year term should let finance plan the cost across the cycle with confidence.
5. Options for the board
If the board would prefer to see alternatives, we can prepare these on request:
- Renew as proposed, with the four additional user blocks.
- Renew with fewer additional users, if the board expects adoption to level off. This lowers the annual fee but leaves less headroom.
- A shorter term, which we would discuss, though it would not carry the same price protection.
Our recommendation is the first option, because current adoption already sits well within the licensed number and is still rising.
6. Next steps
| Step | Owner | Timing |
|---|---|---|
| Review this proposal and take it to the board if required | Malcolm Hebden | Before the end of the year |
| Usage and value walk-through for the finance and service teams | Marcus Bell | Early December |
| Written confirmation of the line-by-line fee | Tom Ashdown | On request, ahead of the order form |
| Renewal order form issued for signature | Tom Ashdown | Once the board has agreed |
| Current term ends | n/a | 16 Jan 2026 |
We would like the order form signed before the current term ends, so that there is no gap in service or in the nightly refresh.
7. Contacts
- Tom Ashdown, Account Executive, BG-Demo: commercial terms and the order form.
- Marcus Bell, Customer Success Manager, BG-Demo: adoption, usage review and the quarterly reviews.

This proposal is issued as final for discussion. It is not a contract. The executed order form will set the contracted price and terms.
