What this says
As at Fri 9 Oct 2026Jackie Seed watched a demo on sample data. Her test was whether store managers can use it unaided. She wants a decision in January and a running system before spring, and wants access timing confirmed in writing.
What happened: Hannah Lowe ran the demo on a sample built from Ulleskelf's categories, not live data. It covered café takings, a margin question, the stock view, permissions and dashboards.
Customer view: Jackie's test was whether store managers can use it without her translating. She valued that it flags gaps and says what it does not know, and said Terence Bradley would like the takings reconciliation and the stock transfers.
Commercial: Jackie said the decision is aimed for January. Hannah would not give a go-live date until access to the named systems is confirmed.
Watch: Jackie expects to be the named admin for now, which is a key-person risk on a small team. The evidence does not show a price or tier discussed on this call.

Next steps
As at Fri 9 Oct 2026- Sophie Ling to send the notes and the access list on the day of the call.
- Hannah Lowe to confirm system access in writing before giving a date.
- Agree a named admin on the customer side before go-live.
Risks
As at Fri 9 Oct 2026- Go-live date depends on access to the customer's named systems, which is not yet confirmed.
- Jackie expects to be the only admin for now, a key-person risk.
- The demo used sample data, so the answers have not yet been tested on Ulleskelf's own sources.
Opportunities
As at Fri 9 Oct 2026- Jackie wants a decision in January and a running system before spring.
- The dashboards builder and role-based access matter to the customer and fit a wider rollout across the seven centres.
Transcript
- Sophie LingGood afternoon Jackie, can you see the screen? Hannah's here, she's our solutions engineer and she's going to run the demo.
- Jackie SeedHello Hannah, hello Sophie. Yes, I can see it. Is that our data or a sample?
- Hannah LoweHi Jackie. Before I start, what do you most need to know from this?
- Jackie SeedHonestly, whether the store managers can use it without needing me to translate every question.
- Hannah LoweOkay, that's the right test. To be precise, this is a sample built from your categories, so it isn't live yet. The short answer is yes, they can ask in plain language. The longer answer is that the answers are only as good as the source data, which is the bit we'll spend time on.
- Jackie SeedFair enough. Go on then.
- Hannah LoweI'll start with a plain question. Show me café takings across the seven centres for last month.
- Jackie SeedThat's quick. Where does that number come from?
- Hannah LoweGood question. It pulls the takings from the till export and the accounting ledger, and where they disagree it shows you the gap rather than picking one. I'll put that behaviour in writing for you as well.
- Jackie SeedThat's the bit Terence will like. Can you try something harder? Ask it why the margins dropped at the Yorkshire cafés.
- Hannah LoweI'll ask it that. It will answer with what the data shows, and it will say what it can't tell from the data. That part matters more than the answer itself.
- Jackie SeedOh, it says it doesn't know why. That's honest, at least.
- Hannah LoweThe short answer is it can see the change but not the cause, because the cause isn't in any system it's connected to. The longer answer is that if you connect your rota or supplier data, it can start to narrow it down.
- Sophie LingJackie, that's a good example of why the connections matter. Hannah, could you describe how a new source gets added?
- Hannah LoweYes. We set up a connection to the source, check it reads the fields we expect, and then agree with you who owns the source. If someone changes a system later, the connection can break quietly, so we watch for that.
- Jackie SeedQuietly? How would we know?
- Hannah LoweThe usage view shows when records stop coming through. You'd see a flat line, so you'd know before a manager does. I'll show you that next.
- Jackie SeedGood. Who on our side would look at that?
- Hannah LoweIdeally one named admin on your side, with us as the backup. Can we agree that before go-live? I'll put it in the notes.
- Jackie SeedYes. My team's small, so it'll probably be me for now.
- Jackie SeedCan a café manager see the group figures, or only their own?
- Hannah LoweOnly what their role lets them see. You set that by role, and the default is their own site. I'd rather you test it with a real manager than take my word for it.
- Jackie SeedWe'll do that. What about staff data? I don't want that visible to everyone.
- Hannah LoweIt can stay out entirely if you don't connect it. Anything you do connect, the permissions apply to. Let me show you the access page.
- Jackie SeedCan you go back to the stock view? Terence will ask about that one.
- Hannah LoweOf course. This is the stock view across the seven centres. The farm shop and the garden centre show the same item, and the transfer appears as one movement rather than two.
- Jackie SeedThat's the thing we get wrong by hand every week.
- Sophie LingSo the message for Terence is that the transfers net off. Is that right, Hannah?
- Hannah LoweYes. To be precise, it nets them off where both sides are in the data. If one side is missing, it'll flag it rather than guess.
- Jackie SeedFlagging is good. I'd rather it told me it didn't know.
- Hannah LoweAgreed. Here's a dashboard with the takings and the stock together. I'll show you how the filters work, then you can try it.
- Jackie SeedCan we build one ourselves?
- Hannah LoweYes, and most of your team will manage after a short session. The more complex ones, we'd build with you first.
- Sophie LingLet's talk through the timing. Jackie, the aim is a decision in January?
- Jackie SeedJanuary, yes. We'd like it running before the spring.
- Hannah LoweThe short answer is it depends on the connections. The longer answer is that the systems you named are the critical path, so I'd want to confirm access before I give you a date. I'll put that in writing.
- Jackie SeedFine. Put it in writing, and we'll go from there.
- Sophie LingRight, I think that's a good place to stop. We'll send the notes and the access list today. Thanks both.
- Hannah LoweThanks, Jackie. Thanks, Sophie. Speak soon.
- Jackie SeedThanks both. Bye.
