What this says
As at Fri 9 Oct 2026Samina Akram, Head of Patient Services, described having to ring round colleagues to answer head office questions. Tom Ashdown positioned the Growth tier and a demo was agreed. Directors, IT and governance are still to be involved.
What happened: Tom ran a discovery call with Samina. She described a group of physio, occupational health and diagnostics clinics where each site holds its own mix of booking system, shared drive and email.
Customer view: Her pain is getting answers. Head office asks for referrals by clinic and she has to ring round three people. The pain is mainly hers and the operations manager's, but the directors have started asking.
Commercial: Tom pointed to the Growth tier, which covers several teams, and said the current deal is sitting at £56k. Samina said she would need to take that to the directors, so she wants a clear picture first.
Watch: Her IT lead and someone in information governance must be involved and will want the detail first. The evidence does not show a budget, a timeline or a competitor.

Transcript
- Tom AshdownHi Samina, good afternoon. Can you hear me? Sorry, it's been one of those days with the trains.
- Samina AkramHello Tom, yes, I can hear you fine. Don't worry about the trains, I'm just pleased you made it on time.
- Tom AshdownHa, I'll take that. How's your week been? Busy, I'd guess, with the clinics.
- Samina AkramVery busy. We've had two of the sites changing their booking system, so I've spent most of the week on the phone to people who would rather not be on the phone.
- Tom AshdownThat sounds a bit of a pain. Right, I'd love to hear about the way things work across the group, if you're happy to walk me through it.
- Samina AkramYes. We're a group of physio, occupational health and diagnostics clinics, so each one has its own way of doing things, and head office has to pull it all together.
- Tom AshdownRight, so where does it hurt most? Is it the reporting, or getting a straight answer from the records?
- Samina AkramThe answers. Head office asks me something like how many referrals came from one clinic last quarter, and I've got to ring round three people to find out.
- Tom AshdownYeah, that's the classic. Could I ask what systems the referrals and the bookings sit in at the moment?
- Samina AkramThere's the booking system, a shared drive with the clinical letters, and the emails. Each site has a bit of everything.
- Tom AshdownGot it. Is anyone else in the group feeling the same pain, or is it mainly you?
- Samina AkramMainly me at the moment, and the operations manager. But the directors have started asking, so it's coming up the chain.
- Tom AshdownThat's useful to know. Who else would need to be involved if we went ahead? I'd rather bring the right people in early than late.
- Samina AkramOur IT lead, for sure, and probably someone in information governance. They'll want to see the detail before anything else.
- Tom AshdownGood, that's helpful. We'd be looking at the Growth tier for a group like yours, which covers several teams. The current deal is sitting at £56,000, but I want to make sure we've scoped it properly before we talk numbers.
- Samina AkramRight. I'll need to take that to the directors anyway, so I'd rather see a clear picture first.
- Tom AshdownCompletely fair. Let's get a demo in the diary with Hannah, our solutions engineer, so she can show the referral question on something like your own data.
- Samina AkramYes, please. Can it be after the clinics finish, so I'm not juggling it with patients?
- Tom AshdownOf course. Leave that with me, I'll pick a time that suits you. Cheers, Samina.
- Samina AkramThanks, Tom. Speak soon.
