What this says
As at Fri 9 Oct 2026Aoife Brophy described a copy-and-paste process with a month end taking the best part of a week for two people. The call questioned whether Starter fits, and a proposal call with her CFO is to be booked.
What happened: In discovery, Aoife described exporting from the payments platform, pasting into the CRM and reconciling against the accounting system. She said the errors worry her more than the time.
Customer view: She wants a month end of two days and an answer to a club's payment query in five minutes. She is tired of being the gatekeeper for numbers.
Commercial: Collections uses a payments platform, a shared inbox and the accounting system, plus the CRM, which is four systems. Matteo Ricci said Growth may fit better than Starter. He quoted a deal value of £28k that may include the one-off implementation fee.
Watch: Her CFO will ask whether it is worth what is paid, so a value case in her words is needed. The evidence does not show a tier decision.

Follow-up
Next steps
As at Fri 9 Oct 2026- Matteo Ricci to send Aoife Brophy a note on the open questions, the calls and the collections systems.
- Matteo Ricci to book the proposal call with her CFO, with the price split ready.
Risks
As at Fri 9 Oct 2026- Her CFO must approve and will want the numbers first, so the value case has to be ready.
- Four systems across client operations and collections may exceed what Starter covers.
- The £28,000 figure may include the implementation fee, and the split is not yet shown.
Opportunities
As at Fri 9 Oct 2026- Growth rather than Starter if collections joins client operations.
- Finance staff and account managers as further users beyond her team.
Transcript
- Aoife BrophyMatteo, morning. Can you hear me? I'm in a different room today, so if I drop out it's the Wi-Fi.
- Matteo RicciGood morning, Aoife. Yes, very clearly. Thank you for making the time.
- Aoife BrophyOf course. I have been looking forward to this, I'll be honest. We have been putting it off for too long.
- Matteo RicciThen let us use the time well. I would like to understand what you are doing today to bring collections, client accounts and the reports together, and where it hurts most.
- Aoife BrophyRight. Honestly, it is a lot of copying. Our client operations people export from the payments platform, paste into the CRM, and then someone reconciles it against the accounting system at month end.
- Matteo RicciHow long does the month end take?
- Aoife BrophyMm. Too long. It is the best part of a week for two people.
- Matteo RicciI would rather ask it straight. Is that week a cost you are trying to reduce, or is it the errors that worry you?
- Aoife BrophyBoth, but the errors more. Last quarter we had a mismatch on a club account and it took ages to find.
- Matteo RicciThat is exactly the sort of question B-Viz answers. Who else would use it, beyond your team?
- Aoife BrophyThe finance people, and the account managers. They ask me for numbers all the time, and I am sick of being the gatekeeper.
- Matteo RicciUnderstood. And what do you use today for the account managers' questions?
- Aoife BrophyThe CRM, mostly. But the CRM is only as good as what people type into it, which is the whole problem. The calls go into a call recorder that nobody searches.
- Matteo RicciMm, so the calls hold the real story. Do you know how many of them are logged against accounts?
- Aoife BrophyNot sure. That's something I would need to check. I don't want to guess.
- Matteo RicciOf course. I will not guess either. Let me note that as an open question.
- Aoife BrophySorry, I've been thinking about the Starter tier. Would one team really be enough? We have client ops, and then there's the collections side, which is a separate group.
- Matteo RicciThat is the right question. Starter is built for one team, so if collections needs its own connections, we would look at Growth. Which systems does collections use?
- Aoife BrophyThe payments platform, a shared inbox for disputes, and the accounting system. That's three, plus the CRM, which makes four.
- Matteo RicciSo that is already a lot for a single team. I would rather tell you that now than after the order form.
- Aoife BrophyYes, that's useful. I think we'd have to look at it with my CFO.
- Matteo RicciLet us include them on the proposal call. Would that work?
- Aoife BrophyYes. They will want the numbers first, so be ready.
- Matteo RicciWhat would success look like for you in the first months? Not the features, the outcome.
- Aoife BrophyA month end that takes two days, not a week. And if a club calls about a payment, I can answer in five minutes.
- Matteo RicciThat is a clear measure. I will write it down exactly as you said it.
- Aoife BrophyPlease do. My CFO will ask whether it is worth what we pay, so it helps to have it in my words.
- Matteo RicciAgreed. The deal value we have discussed is £28,000. That may include the one-off implementation fee, so I will show the split when we get to the proposal.
- Aoife BrophyRight, that's helpful. I'll need that split for the approval.
- Matteo RicciYou will have it. I would rather you had it in writing first.
- Aoife BrophyOkay, I have to jump off in a few minutes. Can we agree the next step?
- Matteo RicciYes. I send you a short note on the open questions, the calls and the collections systems. We book the proposal call with your CFO.
- Aoife BrophyLovely, send it to my usual address. Thanks, Matteo.
- Matteo RicciThank you, Aoife. Speak soon.
- Aoife BrophyBye.
