Follow-up
Next steps
As at Fri 9 Oct 2026- Priya Raman to send the proposal and a security note by the end of the week.
- Tobias Renwick to suggest a one-page explanation of where the data sits for Lily and whoever handles passwords.
- Victoria Spence to take the written material to the director ahead of a decision by 13 Mar 2024.
Risks
As at Fri 9 Oct 2026- Late customer month ends mean answers could show stale figures unless refresh timings are agreed.
- Data control and exit terms need to be written into the paperwork.
- Lily does not want to run connector setup alone, so onboarding support matters.
Opportunities
As at Fri 9 Oct 2026- Both attendees reacted well to answers on their own data, which supports a proposal.
- Rent statement and deposit questions give Lily a repeatable monthly use case.
Transcript
- Priya RamanAfternoon everyone, can you all see the screen? Lovely. Great to see you. Tobias is our CTO and he's joining today, so he'll pick up any detail questions.
- Tobias RenwickAfternoon. Hello Victoria, hello Lily. Before we start, I'd like to ask what your IT people will need to see, because that's usually the first thing that comes up.
- Victoria SpenceHiya Tobias. We don't have an IT department as such. The director sorts out the passwords, so it's a bit of a mix.
- Tobias RenwickFair enough. The honest answer is that for most small firms this is a sensible place to start. We'll show you where the data sits, and who can see what.
- Priya RamanRight, let's get going. Victoria, you pick the first question. What's the one thing you'd like to ask the system?
- Victoria SpenceOkay, I'll ask about a tenant who's behind on maintenance. Something like, which landlords have open repairs at the moment?
- Priya RamanLet me type that in. Here we go, it's pulling the open repairs from the property system and the email threads.
- Lily HarkerSorry, how does it know which emails? Does it just read the whole inbox?
- Tobias RenwickGood question. The trade-off is that it only reads what you've connected, so you decide which mailboxes and folders are in. That's the part I'd want your admin team to set up carefully.
- Lily HarkerOkay, so I'd be the one choosing. That's fine, I can do that. Who else can see the answers?
- Tobias RenwickAnyone you give access to. It follows the permissions already in your systems, so if someone can't see a folder in the mailbox, they won't get the answer from it either. It doesn't widen access.
- Priya RamanThere we go, look, that's come back. Three landlords with open repairs, and the notes from the last call. Oh, and it's linked to the tenant record.
- Victoria SpenceOh, that's exactly what I meant. That would have saved me half an hour yesterday.
- Priya RamanLove that. Lily, what do you usually have to chase?
- Lily HarkerHonestly, the rent statements. Every month I have to pull them from the accounts and then check them against the property system. It's really tedious.
- Priya RamanOkay, shall we ask it? Show me the rent statement question, Lily.
- Tobias RenwickJust to be precise, this runs inside your own Snowflake account. We read from your systems, and the answers come back into your account. Nothing is copied off to somewhere you can't see.
- Victoria SpenceRight. So if we decided to stop, our data stays with us?
- Tobias RenwickYes. That's the principle we work to. Your data stays under your control, and I'd want that written into the paperwork, which Priya can put in front of you.
- Lily HarkerOkay. And who sets up the connectors? Is that us, or you?
- Priya RamanWe do the setup with you. It's usually a few weeks of work, and then your team owns the day to day.
- Lily HarkerGood, because I don't want to be doing it all alone.
- Tobias RenwickSorry, I'm back, my connection dropped. Where were we?
- Victoria SpenceYou were explaining the rent statements. Lily had a question about the statements being in the right month.
- Tobias RenwickYes. The honest answer is that the statements only update when the source has updated, so if your accounts are late, the answer will be late too. That's a fair thing to flag up front.
- Lily HarkerAh, we're often late with the month end. So it would show last month's numbers if I asked on the first?
- Tobias RenwickYes, exactly. That's a good example of why we want the refresh timings agreed, so you know what you're looking at.
- Victoria SpenceMakes sense. What about the tenants? Can they see any of this?
- Priya RamanNo, the tenants wouldn't have access. This is for your team only, so it's internal. You'd control who has a login.
- Victoria SpenceGood. That's important.
- Priya RamanRight, we're nearly at the hour. Lily, do you want to try asking it a question yourself?
- Lily HarkerOkay. Hang on, I'll type it. How many tenants still have a deposit held after the tenancy ended?
- Tobias RenwickGood test. The trade-off with a question like that is that it depends on how the deposit is recorded in your accounts.
- Lily HarkerIt's in the accounting system, so it should be fine. Oh, it's come back with a list.
- Priya RamanBrilliant. Lily, that's a great first go. How did it feel?
- Lily HarkerHonestly, quick. I'd have spent a morning on that. Could it do the same thing next month without me touching anything?
- Tobias RenwickYes, it updates as the data changes. The honest answer is the timing depends on the refresh, so it won't be instant, but it will be there each morning.
- Priya RamanLovely. So, next steps. I'll send over the proposal and a security note by the end of the week. Tobias, is there anything you'd like to add for your side?
- Tobias RenwickYes, I'd send a one-page explanation of where the data sits, and I'd suggest Lily and whoever handles the passwords read it together. I won't promise dates on new features, I'm afraid.
- Victoria SpenceThat's helpful. Let's aim to get a decision by 13 Mar 2024 if we can. We'd like to get going in the spring.
- Priya RamanThat's the plan. I'll get everything in writing so you can take it to the director.
- Victoria SpencePerfect. Thanks everyone.
- Lily HarkerThanks, bye.
- Tobias RenwickThank you. Goodbye.
- Priya RamanBye all, speak soon.
