What this says
As at Fri 9 Oct 2026Monique Jefferson checked B-Viz answers on invoices and open orders against source and found them correct. Worker records are not connected yet, and she needs an answer on that before telling the schedulers.
What happened: Hamza Akhtar walked Monique through three scheduler questions. The invoice and open-orders answers worked, and she checked the invoice date and amount against the actual invoice.
Customer view: She values honesty over polish: "I'd rather it said I don't know than gave me a wrong number." The worker question returned no match.
Commercial: The invoice view is the proof point for the schedulers and for finance later. Her three finance columns are payment status, due date and credits.
Watch: The worker gap is unresolved and Hamza does not yet know the fix. Saving answers to a shared drive depends on Plum Grove's IT, and Monique wants to confirm freshness of anything odd.

Next steps
As at Fri 9 Oct 2026- Hamza Akhtar to look at the worker source and come back to Monique with options.
- Hamza to check the credit column loads before the finance session and send the walkthrough.
- Monique to ask Plum Grove IT about a shared page.
Risks
As at Fri 9 Oct 2026- Worker records are not connected, so one scheduler question cannot be answered yet.
- Schedulers may not adopt B-Viz without a shared place to find saved answers.
Opportunities
As at Fri 9 Oct 2026- A finance walkthrough built on the invoice view could widen use beyond operations.
- Connecting worker records would extend the answers schedulers can get.
Transcript
- Hamza AkhtarAfternoon, Monique. Can you see my screen? I've got the training setup ready to go.
- Monique JeffersonYes, it's up. Sorry, I've got the schedulers' rota on the other monitor, so I'm half watching that.
- Hamza AkhtarThat's fine. Honestly, the rota is a good thing to have open, because we'll use it as the example data.
- Monique JeffersonHa, okay. What are we going to do first? I want to know what I'm actually getting out of this.
- Hamza AkhtarTo be precise, we're going to walk through three questions your schedulers ask, and see if the system answers them in one go. If it does, that's your proof.
- Monique JeffersonRight. Go on then. Question one is always where's the invoice.
- Hamza AkhtarLet's type it the way a scheduler would. Just plain English, no special words. Where did the last invoice for this client go?
- Monique JeffersonHang on, it's giving me a list. Oh, it's given me the right client, the open orders and the invoice date. That's quite good.
- Hamza AkhtarThe short answer is yes, and the longer answer is that it's pulling from the invoices and the orders together, so you don't have to cross-check.
- Monique JeffersonBut is it right? I don't trust it until I've checked it against the actual invoice.
- Hamza AkhtarCompletely fair, and you should check it. Open the invoice and compare the date and the amount with what it shows. If it's off, tell me, because that's a real problem.
- Monique JeffersonOkay, I'm opening it. Yes, the date matches. The amount matches. Good, I'm happy with that one.
- Hamza AkhtarBrilliant. Question two is usually about which orders are still open for a client. Want to try that one yourself?
- Monique JeffersonYes. Which open orders does this client have right now?
- Hamza AkhtarGood. Notice you didn't have to name the client again. It keeps the context from the question before.
- Monique JeffersonOh, that's handy. It's just listed three orders. I'd have needed to ring the warehouse for that.
- Hamza AkhtarThat's exactly the time it saves. Now, the thing to watch is how fresh the data is. The records should be current as of last night, so if an order shows up that you know was cancelled, flag it.
- Monique JeffersonRight. So if I see something from last week that's gone, I should tell you rather than assume.
- Hamza AkhtarYes, exactly. Anything that looks stale is useful feedback, because it tells us a source needs attention.
- Monique JeffersonI'll keep a note of anything odd. The schedulers will only trust it if I can say I've checked. So, question three?
- Hamza AkhtarQuestion three is the one that surprises people. Ask it something about a worker rather than a client. For example, when did a particular worker last have an assignment?
- Monique JeffersonWe don't really track that by worker in the same place. Is it going to know?
- Hamza AkhtarIt depends on what's loaded. I'd rather not promise it knows, so let's test it. Try a name from your rota.
- Monique JeffersonOkay, I'll type one of ours. Ah, it says it can't find a match. It's given me a couple of close names.
- Hamza AkhtarThat's useful, and honest. It means the worker records aren't connected yet. I'll note that as a gap rather than pretend it's there.
- Monique JeffersonGood, because I'd have been annoyed if it made something up. Can you tell me what's needed to connect it?
- Hamza AkhtarI'll look at the source and come back to you with the options. I'm not going to guess the answer in front of you.
- Monique JeffersonFine. Let's go back to what works. Can you show me how a scheduler would save a question so they don't have to retype it?
- Hamza AkhtarYes. You just keep the page open, or copy the answer into your own notes. The point is they can get back to it quickly.
- Monique JeffersonMm. They'll want something they can find on a Monday morning without thinking. I'm not sure they'll bother with copying.
- Hamza AkhtarThat's a fair point. Maybe the answer is a shared page for the team, rather than individual notes. Would that suit how your team works?
- Monique JeffersonYes, probably. We've got a shared drive for the rota already. Could it go in there?
- Hamza AkhtarI'd rather you checked with your IT people first, because I'm not sure what's allowed on your side. I'll note the request.
- Monique JeffersonRight, that's on my list then. Let's keep going. What about the search? The schedulers type all sorts of things.
- Hamza AkhtarGood, let's test it with a messy question. Type it badly, with a typo and no punctuation. Let's see what comes back.
- Monique JeffersonOkay, I'll type it the way I'd type it on my phone. It's got the client right anyway. That's better than I expected.
- Hamza AkhtarIt's pretty forgiving. The real test is whether the answer makes sense to someone who wasn't in the room. Can you read it out as if you were a scheduler?
- Monique JeffersonIt says there are two open orders and the last invoice was paid. That makes sense to me. I'd want to check the amount, but yes.
- Hamza AkhtarGood. Let's talk about what happens when someone asks something you can't answer. The system should say so, and that matters more than sounding clever.
- Monique JeffersonI agree. I'd rather it said I don't know than gave me a wrong number. Our clients would be furious with a wrong number.
- Hamza AkhtarExactly. So when it says it doesn't know, that's the cue to check the source or ask me. Don't go on guessing.
- Monique JeffersonRight. I'll put that in the note for the schedulers. Anything they can't find, they come to me first, and I come to you.
- Hamza AkhtarThat's a good process. Honestly, it's better than having everyone guess on their own.
- Monique JeffersonHmm. Can we go through the invoice view once more? I want to be sure I can show it to the finance team when they start.
- Hamza AkhtarOf course. I'll go back to the invoice page and show you the columns. Tell me which ones finance will ask about first.
- Monique JeffersonPayment status, the due date, and whether anything's been credited. Those three, always.
- Hamza AkhtarNoted. I'll put those three at the top of the finance walkthrough. Let me check the credit column is loading properly first.
- Monique JeffersonGood idea, because finance will spot a blank column straight away.
- Hamza AkhtarThey will. Right, I think we've covered the main questions. Anything you'd like me to go over again before we wrap up?
- Monique JeffersonThe worker question, honestly. I'll need an answer on that before I tell the schedulers it's sorted.
- Hamza AkhtarYes, I'll come back to you on it. Let me be clear that I don't know the answer yet, so I'll get back to you rather than guess.
- Monique JeffersonGood. That's the honest answer I'd want. Right, let's wrap up. I've got my notes.
- Hamza AkhtarSo, to recap: I'll send the walkthrough, I'll look into the worker connection, and I'll check the invoice columns before the finance session. You'll send me anything odd.
- Monique JeffersonYes. And I'll ask IT about the shared page. Thanks, Hamza, that was useful.
- Hamza AkhtarThanks, Monique. Speak soon, and well done on the invoice check.
- Monique JeffersonCheers, bye.
