What this says
As at Fri 9 Oct 2026First onboarding call with Commondale Care: field mapping, access by home and a second admin. Incident type has two codes for one thing and is still open. The checklist and setup note are due by Friday.
What happened: Callie Brennan took Lynne Featherstone and Kayleigh Pounder through the field mapping. Fields one to ten were fine, and incident type was left open because two codes mean the same thing depending on the home.
Customer view: Lynne wants each home to see its own incidents first, not the group total. Kayleigh wants access checked before anyone logs in. She declined extra training for now: "The note is fine for now."
Commercial: No renewal or price talk. The on-site training day add-on was mentioned and not taken up.
Watch: Kayleigh named no second admin yet, so cover rests on one person. Old field names and two commissioner contact sources are early signs of data drift.

Transcript
- Callie BrennanGood afternoon both. Plan for the next hour: field mapping first, then admin access, then the checklist for next week. Kayleigh, can you hear me?
- Kayleigh PounderYes, hi. Good afternoon. Lynne's just getting her coffee, she'll be on in a second.
- Lynne FeatherstoneI'm here. Sorry. Go on, Callie.
- Callie BrennanRight. Before we switch on the refresh, I need the mapping list signed off. What I need from your side is a yes or a no on each field, and a name for anything unclear.
- Kayleigh PounderSend it over and I'll go through it. Some of the field names are old, from before the last system change, so they won't match what people say.
- Callie BrennanThat's useful. Old names are the usual trouble. I'd rather you flag them than let me assume.
- Kayleigh PounderRight. Incident type is the big one. We've got two codes for the same thing, depending on which home logged it.
- Callie BrennanThen we write both down and agree one meaning. That maps cleanly once we've decided. I won't mark it done until you've said so.
- Lynne FeatherstoneThe homes will want to see their own incidents first, not the group total. Is that possible?
- Callie BrennanYes. Access by home, using the roles in Snowflake. The first version is usually too open, so we'll tighten it together.
- Kayleigh PounderGood. I'd want to check that before anyone logs in, not after.
- Callie BrennanAgreed. Now admin access. Kayleigh, you'll be the main admin, and I'd like a second admin for cover. Who would that be?
- Kayleigh PounderProbably someone in finance reporting, but I'd need to check. I'll come back to you.
- Callie BrennanThat's fine. Let me know by Friday. The setup note will explain the admin tasks, so you can run them on your own.
- Lynne FeatherstoneDo the admins need training, or is the note enough?
- Callie BrennanThe note covers the routine tasks. If you want more, there's an on-site training day, which is an add-on, but I'd start with the note.
- Kayleigh PounderThe note is fine for now. I'd rather learn by doing it with you here.
- Callie BrennanGood. Let's do the field mapping live then. Kayleigh, share the list, and we'll go through the first twenty rows together.
- Kayleigh PounderSharing now. Give me a second, I've got a stack of notes on this.
- Kayleigh PounderRight, I'm back. Fields one to ten are fine. Eleven is the incident type one we talked about.
- Callie BrennanThanks. I'll note it as open. We'll decide the meaning with the homes, not with IT alone.
- Lynne FeatherstoneAgreed. The homes know what they mean by it. Can we ask the leads?
- Callie BrennanYes. I'd put it to the leads as a short question, with the two codes side by side.
- Kayleigh PounderI've got the rest of the list. Some of it's fine, but I'm not sure about the commissioner contacts. They're kept in two different places.
- Callie BrennanThen we pick the one that's right and flag the other. Which one do you trust more?
- Kayleigh PounderThe one we update monthly. The other one gets forgotten.
- Callie BrennanThat's the one we use. I'll write that down, with the reason, so nobody changes it later without asking.
- Lynne FeatherstoneRight, I think we've got a plan. Can we have the checklist by Friday?
- Callie BrennanYes. Checklist and the setup note by Friday, and I'll confirm the refresh date once the mapping is signed off.
- Kayleigh PounderThat works. I'll get the admin name to you before then.
- Callie BrennanThanks both. Speak soon. Thanks, Callie.
