What this says
As at Fri 9 Oct 2026On 13 Jan 2025 Donna Wragg said regular use has fallen to two or three people, nearly halved. The promised session did not happen. She expects Terry to question what fifteen users are buying. No faults or tickets.
What happened: Daniel opened on the drop in usage. Donna put it down to habit and a mad December, not any product problem, and said the planned session did not take place.
Customer view: Only Donna, Jodie and one senior consultant still use it. Donna asked what to tell Terry about paying for fifteen users, so the value question is live at the top of the business.
Commercial: Daniel could say only that the contract is £20k a year and runs to 30 Jul 2025. The renewal is under pressure on value, with no fault to point to.
Watch: Terry tends to say he will think about it. Daniel promised a one page note and session slots by the end of the week.

Follow-up
Next steps
As at Fri 9 Oct 2026- Daniel to send Donna a short one page note on the day of the call.
- Daniel to offer a couple of session slots by the end of the week.
- Daniel and Jodie to choose the question the session will be built around.
Risks
As at Fri 9 Oct 2026- Regular use has dropped from about four people to two or three, so fifteen licensed users look hard to justify.
- The adoption session agreed in December did not happen, so the main remedy is still unproven.
- Terry is likely to challenge value ahead of the 30 Jul 2025 term end.
Opportunities
As at Fri 9 Oct 2026- A twenty minute session on one client history question could win back the consultants who have drifted.
- There are no tickets or product complaints, so the issue is habit and can be fixed by adoption work.
Transcript
- Daniel OkaforMorning, Donna, thank you for your time. It's just the two of us today, is that right? I wasn't sure if Jodie was joining.
- Donna WraggMorning. Just me, she's got a candidate in. Happy New Year, by the way, did you get a break?
- Daniel OkaforI did, thank you. A few days at my sister's, far too much cheese. And you? How did the Christmas rota end up?
- Donna WraggChaos, but we got there. Right, what the consultants moaned about this week is the backlog of vacancies. Everyone back at once, everyone wants to chase. Anyway. You wanted a catch up?
- Daniel OkaforI did. Just a gentle check in. I'd like to talk about how things are going, because when I looked at usage this morning it's gone quieter than it was before Christmas.
- Donna WraggYeah. I thought you might say that.
- Daniel OkaforIt's nothing to worry about on the call, I'd just like to understand it. Last quarter you had about four people in regularly. Now it's more like two or three, so it's nearly halved compared to the previous quarter. How is the team finding it?
- Donna WraggHonest answer? A couple of them have drifted. It's the same thing as before, they ring a colleague or open the CRM because it's what they know. And December was mad, nobody had time to learn anything.
- Daniel OkaforThat makes sense. Did the session we talked about happen? I think we left it that I'd come back with slots.
- Donna WraggNo, it didn't, and that's on me as much as you. We got stuck in the rush. I did tell Jodie to find a day.
- Daniel OkaforPlease don't take it on yourself. It's still a good idea, and I'd rather do it properly than squeeze it in. Can I ask who's still using it?
- Donna WraggMe, Jodie, and one of the senior consultants, the one who does the driving contracts. He asks it what we invoiced a client before every call. The others, mm, not so much.
- Daniel OkaforThat's helpful. So the people who've got a clear reason to ask are still asking, and the others haven't found theirs yet. Does that sound fair?
- Donna WraggSpot on. And I'm not forcing them. If it slows them down they'll just stop, and quite right.
- Daniel OkaforAgreed, and that's the right instinct. So let me suggest something small. Not a training day. Twenty minutes, one question, on your real data, aimed at the consultants who aren't using it yet. Which question would be the one that makes them think, oh, that's quicker?
- Donna WraggWhich client is that, basically. They ring someone and want to know what we placed with them last year and whether they've paid. If it answers that in one go, I'll have them in the room.
- Daniel OkaforLovely. I'll build it around that. Before I move on, is there anything about the product itself that's been annoying anyone? Something that stopped working, or an answer that looked wrong?
- Donna WraggNo, nothing like that. Jodie would have shouted. It's more that it's one more place to look, if that makes sense.
- Daniel OkaforIt does. And I can see no tickets and nothing outstanding on our side, so it matches what you're saying. It's habit rather than a fault.
- Donna WraggYeah. Can I ask something? Terry's going to ask me what we're getting for fifteen users when it's two or three using it. What do I say?
- Daniel OkaforThat's a fair thing for him to ask, and I'd rather you had a real answer than a polished one. For now, you can tell him the contract is £19,500 a year, it runs to 30 Jul 2025, and we're working on getting more of the team into it before then. I wouldn't promise him more than that.
- Donna WraggFine. He'll say he'll think about it. He always does.
- Daniel OkaforHa. If it helps, I can send you a one page note after this call with what we've seen and what we're trying. Short, because I know Terry doesn't read long emails.
- Donna WraggOoh, yes please. Short is the magic word.
- Daniel OkaforRight, so just to close the loop. I'll send the note today. I'll come back to you by the end of the week with a couple of slots for the twenty minute session, and Jodie can help me pick the question. Does that work?
- Donna WraggWorks for me. I'll tell Jodie so she doesn't think I've forgotten her.
- Daniel OkaforPerfect. Thanks, Donna, really helpful. Speak soon.
- Donna WraggTa, Daniel. Bye.
