What this says
As at Fri 9 Oct 2026Donna Wragg says only a handful of her consultants use B-Viz out of fifteen Starter seats, from habit rather than fault. Renewal is next summer at about £20k and she must justify it to her boss.
What happened: Daniel Okafor checked in with Donna Wragg, Operations Director. She said consultants forget B-Viz exists and go back to the old spreadsheet, and that the same few keen users carry the usage.
Customer view: Donna values quick answers on which client, which roles and whether they have paid. She will not push anyone to use something that slows them down, and her test is whether it saves her team time.
Commercial: She said renewal is next summer and she must justify about £20k a year. Any money decision goes to her boss, and she asked for a one-page summary of what is asked and by whom.
Watch: Quiet with no tickets could mean unused rather than healthy. Daniel offered a twenty minute lunch session built on the consultants' own clients, and Donna agreed.

Next steps
As at Fri 9 Oct 2026- Daniel to offer dates for a twenty minute lunch session by the end of the following week.
- Donna to pick one or two clients for the live examples.
- Daniel to prepare a one-page summary of use for Donna's boss ahead of renewal.
Risks
As at Fri 9 Oct 2026- Only a handful of the fifteen Starter seats are used regularly, which weakens the value case for renewal.
- Silence with no tickets may mean the product is unused rather than healthy.
- Donna does not decide money alone, and her boss was not on the call.
Opportunities
As at Fri 9 Oct 2026- A short lunch session on the consultants' own clients could spread use beyond the keen few.
- Senior consultants already value fast answers on client payment status.
Transcript
- Daniel OkaforMorning, Donna. Thank you for making the time. Can you hear me all right?
- Donna WraggMorning, Daniel. Yeah, loud and clear. Bit of a wobble on my camera but I'll leave it off for a sec. There. Better?
- Daniel OkaforI can see you fine now. How's the week been? Busy, I imagine, this time of year.
- Donna WraggDon't ask. Warehouse clients are all hiring ahead of the autumn rush, so the phones haven't stopped. Anyway. Before you start, I'll tell you what the consultants moaned about this week, because it's the same thing as last time.
- Daniel OkaforGo on, I'd rather hear it first.
- Donna WraggThey say they forget it's there. They get a call from a client, they dive into the old spreadsheet because that's what their fingers know, and then they remember afterwards that they could have just asked B-Viz. It's not that it's bad. It's habit.
- Daniel OkaforRight, that's really useful, and honestly very common at this stage. Just to close the loop on something from last time, you said a couple of people were using it every day and everyone else was dipping in. Is that still about the shape of it?
- Donna WraggPretty much. Same few keen ones. Me, two of the senior consultants, and one of the newer lads who likes poking about. The rest, not so much.
- Daniel OkaforMm. And I can see that from my side. The number of people active in a typical month has dipped a touch, nothing dramatic, a few fewer than the last quarter. You've got fifteen licences on the Starter plan and only a handful are being used regularly.
- Donna WraggYeah, I know. Fifteen seats and I'm not filling them. Does that worry you?
- Daniel OkaforIt doesn't worry me, but I'd like to help you get more from them, because that's what matters. How is the team finding it when they do use it? What are they asking it?
- Donna WraggMostly the client stuff. Which client is that, what roles have we placed them in, have they paid us. Quick answers. The senior ones love that because they used to ring accounts to find out whether an invoice was settled before they chased a client for another vacancy.
- Daniel OkaforThat's exactly the use I hoped for. So the value is there for the people who've adopted it. It's a question of spreading it.
- Donna WraggRight. But I won't make anyone use something that slows them down. If it's quicker than the spreadsheet they'll do it. If it isn't, they won't, and I'm not going to nag.
- Daniel OkaforCompletely fair. Can I suggest something small? A short session, twenty minutes at most, maybe over lunch, where I show the consultants three or four questions that beat the spreadsheet. Nothing about features. Just their own clients.
- Donna WraggDoes it save my lot time, though? That's my only test.
- Daniel OkaforFor the warehouse and driving desks, I think yes, because those are the ones chasing repeat bookings. I'd rather prove it on a live example than promise it.
- Donna WraggOkay. Keep it simple for the consultants and I'm in. Bring a proper example, one where they'd normally spend ten minutes hunting.
- Daniel OkaforWill do. If you can pick a client or two you're happy for me to use, I'll build it around those. Anything else on the system itself? Any sources not behaving?
- Donna WraggNo, nothing. No tickets, nothing broken. It just sits there being quiet.
- Daniel OkaforWhich I'll take as a good sign on the technical side, though I know quiet can also mean unused. The nightly refresh has been landing on time, so the data's current when people do look.
- Donna WraggGood. Look, I'd better be straight with you. Renewal's next summer and I'll have to justify it. It's about £19,500 a year, and I don't overpay for things.
- Daniel OkaforI appreciate you saying that, and I'd far rather we talk about it openly now than leave it until the last minute. Nell looks after the commercial side, and I'll make sure she's up to speed, but my focus is on making sure you can point to real use by then.
- Donna WraggFair enough. And I'd need to run anything on money past the boss anyway. I don't decide that on my own.
- Daniel OkaforOf course. When the time comes I can put together a simple summary of what's being asked and by whom, so you have something concrete to show him.
- Donna WraggThat'd help. Short, though. One page.
- Daniel OkaforOne page. So, just to recap. I'll come back to you by the end of next week with a couple of dates for the lunch session. You'll pick one or two clients for the examples. And I'll keep an eye on how many people are active so we can see whether it moves.
- Donna WraggSounds right. Tell the consultants it's twenty minutes and there might be sandwiches, you'll get a better turnout.
- Daniel OkaforI'll leave the sandwiches to you. Thanks again, Donna. Speak soon.
- Donna WraggCheers, Daniel. Ta-ra.
