What this says
As at Fri 9 Oct 2026Kickoff after the order form was signed on 31 Jul 2023. Donna attended alone. Three connectors first: CRM, accounting, then email. Admin back-up still to be named.
What happened: Callie and Daniel agreed the connector order with Donna: CRM, accounting system, then email. The call recorder is deferred, leaving the fourth Starter connector unused for now.
Customer view: Donna wants it simple and worries about relying on one person: "If I'm off sick it's dead." Terry was absent, out with a client.
Commercial: Daniel confirmed the Starter contract runs to 30 Jul 2024, renewal on 31 Jul 2024, annual value £20k. Donna said Terry is happy as long as it gets used.
Watch: Key-person dependence on Donna, duplicate client records in the CRM, and adoption by the consultants.

Transcript
- Daniel OkaforAfternoon, Donna. Thank you for making the time. I think it's just the three of us today, is that right? Terry's not joining?
- Donna WraggAfternoon, Daniel. Just me. Terry said he'd leave the details to me, he's out with a client. Hi, Callie.
- Callie BrennanHello, Donna, lovely to meet you properly. Right, shall I tell you the plan for the next hour?
- Donna WraggPlease. I've got a list of what the consultants complained about this week, but plan first.
- Callie BrennanBrilliant. So, first twenty minutes or so, I want to agree which systems we connect and in what order. Then what I need from your side, with dates. Then how the first refresh works and who does what. Last bit, Daniel will talk about how you get going with the team afterwards. Sound alright?
- Donna WraggSounds good. Keep it simple, that's all I ask.
- Daniel OkaforJust to close the loop on where we are: the order form was signed on 31 Jul 2023, so as of this week you're officially a B-Viz customer on the Starter tier. Welcome properly. How's the week been?
- Donna WraggHectic, to be honest. Friday afternoon and I've still got two consultants waiting on a client to call back. But good, good. Glad it's signed.
- Daniel OkaforThat's recruitment for you.
- Donna WraggIt is. Right, what do you need from me?
- Callie BrennanLet's start with the systems. Your Starter plan allows four connectors, which is a hard limit, so we choose them carefully. I've got your CRM down as the first, because that's where the clients and roles live. Is that right?
- Donna WraggYes, definitely. That's where everything starts. Roles, clients, who's working what.
- Callie BrennanThat maps cleanly, usually. Second, I noted the accounting system, so the invoices sit alongside the placements. Third and fourth, I wasn't certain. Where do the calls and emails sit for the consultants?
- Donna WraggEmails are all in the usual office suite. The calls, we've got a recorder but, honestly, only a few of the consultants use it. I'm not sure it's worth connecting yet.
- Daniel OkaforCan I suggest something? We don't have to use all four straight away. It's often better to start with two or three that people really use, get those landing cleanly, and then add the fourth once the team asks for it.
- Donna WraggI like that. Less to go wrong. And the consultants don't need everything on day one.
- Callie BrennanAgreed. So the order is: CRM, then the accounting system, then email. The call recorder stays on the list for later. I'll note that so nobody thinks it's been forgotten.
- Donna WraggGood. Which client is that, though, in the data? Like, if one client has two names in our CRM, does it get confused?
- Callie BrennanGood question, and honestly the answer is that it depends on how they're held. That's exactly what the mapping step is for. I'll go through a sample of your client records with you and check them, rather than say it should be fine. I don't like saying that about a mapping I haven't looked at.
- Donna WraggHa, fair. We do have a few duplicates. Our own fault.
- Callie BrennanEveryone does. Nothing to apologise for. We'll note them down and decide together what to do.
- Daniel OkaforIt's worth saying, Donna, that you're not on your own with this. Once Callie hands over, I'm the person you ring.
- Donna WraggGood to know. Right, access. What do you need?
- Callie BrennanHere's what I need from your side. One, written access for each system, in an email, from someone who has the authority to give it. I never start a connector without it. Two, a named person who will be your admin, someone who can run things once I've gone. Three, a short list of the fields your consultants care most about. Can we go through them one at a time?
- Donna WraggGo on.
- Callie BrennanAccess first. For the CRM, whoever administers it needs to create a read-only user for us, or grant access in the way your supplier allows. Who looks after that?
- Donna WraggThat's me, mostly. And a girl in the office who did the set-up originally. I can do it Monday.
- Callie BrennanMonday would be great. Could you email me once it's done, so I have it in writing? Then the accounting system, same thing.
- Donna WraggThat's our finance person. I'll ask her. She's part time so it might be Tuesday or Wednesday.
- Callie BrennanThat's fine. I'll put Wednesday against it and chase gently if it slips. Email access, we can do after the first two are loading.
- Daniel OkaforWhile you're thinking about the admin, Donna, who do you see running it day to day?
- Donna WraggMe, I suppose. I don't want it to be only me, though. If I'm off sick it's dead.
- Daniel OkaforThat's a sensible worry. A lot of customers end up leaning on one person. Perhaps we name a second person as a back-up, even if they only do the basics.
- Donna WraggI'll ask one of the senior consultants. She's good with that kind of thing.
- Callie BrennanLovely. I'll include her in the training session. Now the users. You've got fifteen licensed users, which is a soft limit, so you could go a little over, but I'd start with the people who will really use it.
- Donna WraggFifteen is plenty. I've got eleven consultants and a couple of us in the office. I'll sort a list.
- Callie BrennanGreat. That's perfect for now. Next, the refresh. Before we switch on the refresh, I'll run a test load on a small slice, show you, and only then do the full load. So there are no surprises on the first morning.
- Donna WraggGood. And after that, it updates on its own?
- Callie BrennanEvery night. It should be complete before seven in the morning on business days, so the consultants log on to fresh data.
- Donna WraggThat'll do nicely. They like to check the board first thing.
- Daniel OkaforAnd after the first refresh lands, I'll ask the consultants how they're finding it, and what questions they try first. That tells us more than any dashboard.
- Donna WraggThey'll tell you straight. They're not shy.
- Daniel OkaforI'm counting on it.
- Donna WraggCan I read you the complaints, then? From this week.
- Callie BrennanPlease do. I'll write them down.
- Donna WraggOne, they can't see what we've invoiced a client without asking finance. Two, they can't tell which roles are going stale. Three, the notes from client calls are all over the place. And four, someone keeps overwriting somebody else's changes. That last one's not for you, that's us.
- Callie BrennanThe first two we can tackle straight away, they come from the CRM and accounting. The notes depend on where they're kept. We'll look at that once email is connected. And you're right, the last one's a process thing.
- Donna WraggYeah. I know.
- Daniel OkaforIt's worth knowing the contract runs to 30 Jul 2024, with renewal on 31 Jul 2024, and the Starter plan carries a six-monthly check-in. I'll be in touch well before then. Annual value on the order form is £19,500.
- Donna WraggYep, I remember. Nineteen five a year. Terry's happy with that as long as it gets used.
- Daniel OkaforThen our job is to make sure it is. That's the whole point.
- Callie BrennanLet me read back the dates, so you've got them. Monday, CRM access in writing. Wednesday, accounting access in writing. Your admin and back-up named by the end of next week. Then I do the test load, and we speak again to look at it together.
- Donna WraggCan you email that? Bullets, ideally. I'll forget otherwise.
- Callie BrennanStraight after this call. With a setup note, so you have it written down and not just in my head.
- Donna WraggBrilliant. Thanks, both. Have a good weekend.
- Daniel OkaforAnd you. Best wishes, Donna.
- Callie BrennanThanks, Donna. Speak next week.
