What this says
As at Fri 9 Oct 2026Kickoff for a Starter build. Kerry Bramall wants one view of landlord, property, repairs and statement. The Snowflake account is unready, four connectors is a hard limit, and the repairs system may not connect.
What happened: Kerry, who sponsors the project, explained that the repairs backlog is why Ludworth Lettings bought. The team agreed on the lettings system, repairs tickets and accounting system first, and Ollie advised holding the fourth connector.
Customer view: Kerry wants one place for landlord, properties, repairs and statement. Amy Royle asked whether data is copied out, and said the Snowflake account was set up for something small.
Commercial: Starter fits one team with fifteen users. Kerry said accounts may want a look later and expects two accounts users, so there is a possible second team and a fourth connector decision. Spend goes up the line, and Kerry named no spend today.
Watch: the Snowflake set-up could slide the four-week implementation. The repairs system may only export files, and the evidence does not show how it will connect.

Follow-up
Next steps
As at Fri 9 Oct 2026- Amy to get her IT colleague on a call and send Ollie the repairs system details.
- Ollie to send a connector checklist today and review the Snowflake set-up.
- Marcus to book an onboarding call for a couple of weeks after the kickoff.
Risks
As at Fri 9 Oct 2026- The Snowflake account was set up for something small and could slide the four-week Starter implementation.
- The repairs ticketing system may only export files, so a live connection is unconfirmed.
- Starter allows four connectors as a hard limit, and the customer listed more than four systems.
Opportunities
As at Fri 9 Oct 2026- Accounts may later want access, with about two users, which could widen the single-team Starter scope.
- The fourth connector decision, possibly the shared mailbox, will follow once people see what they ask.
Transcript
- Marcus BellHi all, can you hear me alright? I'll just share my screen in a second, bear with me.
- Kerry BramallYep, loud and clear. Afternoon. Sorry, I'm eating a sandwich, it's the only gap I've got today.
- Amy RoyleHi, afternoon. I can hear you. Can you hear me? My headset's been a bit temperamental.
- Ollie PearsonHear you fine, Amy. Afternoon everyone. I'm Ollie, I'm the implementation consultant, so I'll be the one actually building this with you over the next few weeks.
- Marcus BellAnd I'm Marcus, customer success. I'll be around after go-live too. Right, I've shared the agenda. What I want to cover today is what you're hoping to get out of it, who owns what on your side, which systems we connect first, and a rough timeline. Happy to jump around if something's more pressing.
- Kerry BramallLovely. Can I start with the repairs backlog? Because honestly that's the reason we bought this.
- Marcus BellGo for it.
- Kerry BramallSo we look after about six thousand homes, South Manchester and Cheshire, and my team is small. A landlord rings up and asks about a boiler, and I've got the property in one place, the repair ticket in another, and the statement in a third. Someone ends up with three tabs open and a spreadsheet. Let's not overcomplicate it: I want one place where I can say, this landlord, these properties, these repairs, this month's statement.
- Ollie PearsonThat's exactly what the Starter set-up is built around, one team, one view. So your property-management team is the team, yes? Not lettings sales or the accounts side?
- Kerry BramallProperty management, yes. Maybe accounts will want a look later, but let's not get ahead of ourselves.
- Amy RoyleCan I ask, sorry, when you say one view, does that mean you copy our data out somewhere? Because I'll get asked about that.
- Ollie PearsonGood question, and worth being clear. B-Viz is built and run inside your own Snowflake account. So the data lands in your environment, under your control. We don't hold a separate copy on our side.
- Amy RoyleOkay, that's helpful. We don't actually have a Snowflake account yet in the way you'd think. I've got access to one, but it was set up for something small.
- Ollie PearsonRight, mm. That's one of the first things for me to look at then. I'll need to see what's there and who can grant the right permissions. Can you tell me who set it up?
- Amy RoyleA colleague in IT, he's still here. I can ask him to join a call.
- Ollie PearsonPerfect. If you can get him on a short call this week or early next, that unblocks most of it.
- Marcus BellOkay, I'll note that as the first action. Let me bring up the connector list. On Starter you've got four connectors, and that's a hard limit, so it's worth choosing carefully rather than connecting everything.
- Kerry BramallFour. Right. Which property is that going to be a problem for? Because we've got the lettings system, the repairs ticketing, the accounting system, the shared mailbox, the document store...
- Amy RoyleAnd the landlord portal, though I think that just reads from the lettings system.
- Ollie PearsonSo that's the conversation. If the portal just reads from the lettings system, we don't need it. For what Kerry's described, I'd say the lettings system, repairs tickets and the accounting system are the three that matter, because that's property, repairs and statements.
- Kerry BramallAnd the fourth?
- Ollie PearsonI'd hold it. Honestly, I'd rather you go live with three that work well and decide on the fourth once people are using it and you can see what they ask for that isn't answered.
- Kerry BramallYeah, that makes sense. Shared mailbox probably, but let's see.
- Marcus BellThat's pretty common, to be fair. Start narrow, add later.
- Amy RoyleOn the repairs side, our ticketing is a bit old. It exports, but I'm not sure it has a proper connection. I'd need to check.
- Ollie PearsonOkay. Can you send me what the system is called and what export or access it offers? I won't promise anything until I've seen it. If it's file-based we can still load it, it just refreshes differently.
- Amy RoyleI'll send that tomorrow.
- Kerry BramallWhile we're on it, the thing that bites us is landlord names. The same landlord might be spelled three ways across the systems. Has has that come up before?
- Ollie PearsonAll the time. We match on whatever identifier is consistent, so a landlord reference, if you've got one in all three. If not, we'll flag the doubtful ones and Amy, you'd be the person to say yes or no.
- Amy RoyleFine, that's me. Most of them do have a reference, I think. A few older ones don't.
- Marcus BellOkay. Owners. Kerry as sponsor and the person who'll judge whether this is useful. Amy as admin and the contact for systems. Anyone else who needs to be in the loop?
- Kerry BramallNot for the build. Anything involving spend goes up the line, but there's nothing to spend on today, so we're fine.
- Marcus BellPerfect, and I won't get into that side, that's for Tom. Now, users. You've got fifteen licensed. Who do you see using it?
- Kerry BramallThe property managers, the repairs coordinators, me, Amy. That's most of fifteen. Probably two from accounts later.
- Marcus BellGreat. I'll want to look at who's actually logging in once you're live. Fifteen is a soft limit, so no worries if you drift over a bit.
- Ollie PearsonOn timeline, implementation for Starter is four weeks from here. Realistically the first fortnight is access and connecting, then mapping and checking the data, then training and handover. The Snowflake question is the one that could slide things.
- Kerry BramallDo I need to be on every call?
- Ollie PearsonNo. Amy and me mostly, then you for the checking of the first results. You'll know straight away if a landlord looks wrong.
- Kerry BramallHa, I will. Lovely.
- Marcus BellRight, let me recap actions. Amy, get your IT colleague on a call and send Ollie the repairs system details. Ollie, you send a short connector checklist and look at the Snowflake set-up. I'll book an onboarding call for a couple of weeks from now.
- Ollie PearsonI'll send the checklist today. Anything you're not sure of, just reply to it and I'll pick it up.
- Amy RoyleThanks both. Sorry for all the questions.
- Marcus BellNot at all, that's the job. Speak soon, everyone. Thanks.
- Kerry BramallCheers, bye.
