What this says
As at Fri 9 Oct 2026One employer appeared twice in the client list on 16 Jun 2025, with calls split between the two entries. Olivia Grant found no data lost, but the record does not show a merge or the cause.
Problem: Lorna Cairns, Head of Client Services, reported an employer under two entries, with calls split between them, so pay queries might use the wrong one.
Handling: Olivia Grant confirmed the entries differed only in name form, with no data lost, and asked Ewan Pryce, Head of Platform, to check whether the nightly refresh creates a second record.
Watch: The ticket was solved on 24 Jun 2025 and closed on 28 Jun 2025, but the record does not show the cause, a merge decision or whether Lorna was told.

- created · Lorna Cairns 16 Jun 2025 12:14Hello, I think some employers are appearing twice in the client list. One of my client managers spotted a duplicate for an employer she looks after, and the calls show up under both. Can you check it and tell us which one is right? We do not want the wrong one used for any pay queries. Thanks, Lorna
- Public reply · Olivia Grant 16 Jun 2025 14:40Hi Lorna, thanks for flagging this so quickly. Could you send me the names of the two entries so I can check which one came from which source? I will look at the matching rules while I wait. Thanks, Olivia
- Public reply · Lorna Cairns 18 Jun 2025 10:37Hi Olivia, the two entries are the same employer, one with the trading name and one with the registered name. The calls are split between them. Do we need to merge them, and has the client been told? Thanks, Lorna
- Internal note · Olivia Grant 18 Jun 2025 14:28Two organisation entries for the same employer, differing only in name form. Calls are split between them, no data lost. Need Ewan to check whether the nightly refresh is creating a second record. Lorna not yet told the cause.
