Internal draft by Tom Ashdown for a like-for-like Growth renewal for the term ending 6 May 2025. It cites contracted annual recurring revenue of £42k and 40 users. The renewal fee is not confirmed and it was not shared with the customer.

What it is: an internal draft, version one, dated 20 Feb 2025. It states "Draft, version one. Not yet agreed or shared with the customer." It proposes a Growth renewal with no change of tier.

Commits: nothing binds either party. The proposed terms are "One year from the day after the current term ends" and "Annual, in advance, on standard 30-day terms", with standard Growth service levels and 40 users.

Unusual: the draft records that "active use is a small share of the licensed users", so the renewal case rests on value rather than volume. No discount is assumed.

Not settled: the renewal fee, which Tom says "has not been confirmed yet". The recipient and signatory are also open. The text does not show whether the proposal was ever sent or a renewal signed, and the £42k is quoted as contracted annual recurring revenue, not a renewal price.

Eccup Software: Renewal Proposal

Draft, version one. Not yet agreed or shared with the customer.

Prepared by: Tom Ashdown, Account Executive, BG-Demo Customer success manager: Marcus Bell Date: Thursday 20 February 2025 Deal type: Renewal Tier: Growth

1. Context

Eccup Software, based in Leeds, supplies care-planning and compliance software to social-care providers. The company joined BG-Demo on 7 May 2024 on the Growth tier, so that its customer success team could read tickets, renewals and usage for each provider in one place.

The current term ends on 6 May 2025. This proposal sets out how we would like to renew it.

2. How the first term has gone

  • Contracted annual recurring revenue is £42k.
  • The licence covers 40 users.
  • Active use has been steady, and has edged up a little against the prior quarter.
  • No tickets were raised in the last 30 days, and nothing is open.
  • Invoices have been paid on time, with nothing overdue.

The account is quiet and healthy. The honest caveat is that active use is a small share of the licensed users, so the strongest case for renewal depends on the value the customer success team can point to, not on volume.

3. What we propose

ItemProposal
TierGrowth, unchanged
UsersThe Growth user allowance, as today, covering 40 users
ConnectorsThe Growth connector allowance, as today
IncludedPages, chat and search, the dashboards builder and quarterly business reviews
Service levelsThe standard Growth service levels, with no change
TermOne year from the day after the current term ends
BillingAnnual, in advance, on standard 30-day terms

The aim is a straightforward like-for-like renewal. We are not proposing a change of tier at this stage.

4. Pricing

The current contracted annual recurring revenue is £42k. The fee for the renewal term has not been confirmed yet, and I will confirm the figure before anything goes to the customer rather than quote it from memory. No discount is assumed, as first-term discounts apply to the first term only.

5. Open points

  • Confirm the renewal fee with the price book and the original order form.
  • Check with Marcus whether the customer success team wants more users or another connector, which would change the proposal.
  • Ask Marcus whether the dashboards builder has been used enough to cite as a benefit.
  • Agree who at Eccup Software should receive the proposal, and who signs.
  • Check that the renewal notice from customer success has gone out in good time before the end date.
