What this says
As at Fri 9 Oct 2026Marie Slack and Clifford Unwin described time lost finding answers across three sources for a dozen developments. Clifford wants arrears and maintenance costs without the month end pack. Deal figure £26k is not yet split.
What happened: Priya ran discovery with Marie and Clifford. Marie described queries arriving by email, portal and phone, with answers scattered across three places.
Customer view: Clifford said the time lost is "a lot" and wants arrears and maintenance costs without waiting for the month end pack. He can point to Marie's team no longer chasing their tails.
Commercial: Priya quoted £26k as the figure on the deal but had not split set-up from ongoing, and promised a written breakdown. Clifford does not want to buy seats that sit unused. Expected users are Marie, two admins and a handful of property managers, which suggests a single-team scope.
Watch: Clifford is cautious on seats and prefers the price in writing. The evidence does not show which tier is proposed. Decision aimed for by the end of July, with a demo on their own data planned.

Next steps
As at Fri 9 Oct 2026- Priya Raman to send the written breakdown of the £25,500 figure before going further.
- Marie and Clifford to confirm who else should join the demo on their own data.
- Aim for a customer decision by the end of July.
Risks
As at Fri 9 Oct 2026- Clifford does not want to pay for seats that go unused, so user numbers may constrain the deal.
- The £25,500 figure is not yet split between set-up and ongoing, which could cause friction if the breakdown surprises him.
Opportunities
As at Fri 9 Oct 2026- Both a time-saving case for Marie's team and a reporting case for Clifford on arrears and maintenance costs.
- The portal connection is a concrete need that a demo on their own data can address.
Transcript
- Priya RamanMarie, hi, can you hear me? Oh good. And Clifford, is that you dialling in? Brilliant, we're all here.
- Marie SlackHiya, yes, loud and clear. Apologies, I'm in the car park, so if the wind picks up I'll go in and out.
- Priya RamanNo problem at all. Let's keep it tight if we can, I know you've both got a busy afternoon. Clifford, you had the overview deck?
- Clifford UnwinI had a look at it, yes. Marie forwarded it on and I skimmed it on the train. Honestly, it's the bit about residents' queries I want to hear more about.
- Priya RamanBrilliant, that's the best place to start. Marie, would you talk us through what a normal week looks like on the block side?
- Marie SlackYeah. So we've got a dozen developments on the books at the moment, and every one of them has its own service charge account, its own contractors, its own residents' group. Queries come in by email, by the portal, and sometimes just a phone call to whoever picked up. Then someone has to go and find the answer in three different places.
- Clifford UnwinAnd that's where the time goes. I'd rather not put a number on it in front of Priya, but it's a lot.
- Priya RamanHappy to take a rough number, no pressure. Is it mostly the finding, or the writing back once you've found it?
- Marie SlackMostly the finding. The writing back I can do in ten minutes. It's the bit where I'm opening the maintenance spreadsheet, then the contractor's email, then checking whether the invoice has gone through, and by then I've forgotten what the resident actually asked.
- Priya RamanRight, that's exactly the pattern we see. So if B-Viz could answer across those sources in one go, the question is whether that helps you, Clifford, or whether you'd rather it was more about the numbers.
- Clifford UnwinBoth, to be fair. I want to know arrears and maintenance costs without waiting for the month end pack. But if Marie's team stop chasing their tails, that's the thing I can actually point to.
- Marie SlackYes. And can it cope with the portal? Because the residents write in there and nowhere else.
- Priya RamanIt can, as long as we connect it. I'll let Hannah pick that up on the next call, she's much better at the detail than me. What I'd like to know today is how many people would be using it, roughly.
- Marie SlackMe, two admins, and maybe a handful of the property managers. Not the whole company to begin with.
- Clifford UnwinLet's be careful there. I don't want to buy seats we'll sit on. Priya, what are we looking at on the deal?
- Priya RamanThe figure on the deal is £25,500 at the moment. I want to be straight with you, I haven't yet split out what's the set-up and what's the ongoing, so I won't guess on the call. I'll send the breakdown before we go any further.
- Clifford UnwinFair enough. I'd rather have that in writing than over the phone anyway.
- Priya RamanOf course. Let's keep momentum, though. Could we get Hannah and a demo on your own data in the diary? Shall we say the week after next?
- Marie SlackYeah, that works. Clifford, are you free that week? You'll want to see the actual queries, not the slides.
- Clifford UnwinI'll try. Send me the link and I'll find a slot.
- Priya RamanBrilliant. So next steps: I send the breakdown on the figure, you two check who else should be on the demo, and we aim to have a decision by the end of July. Does that sound right?
- Clifford UnwinThat sounds right. Cheers, Priya.
- Marie SlackThanks, Priya. Speak soon.
- Priya RamanThanks both, speak soon. Bye.
