What this says
As at Fri 9 Oct 2026Renewal call for the Starter tier at £20k a year. Usage has slipped and the managing partner says he will struggle to justify the same price unless the partners can see it being used. Signature wanted by 8 Sep 2025.
What happened: Priya Raman set out the Starter renewal for fifteen seats at £20k a year, with a new term starting on 23 Sep 2025 if signed by Monday 8 Sep 2025. She shared the order form during the call.
Customer view: Jenny Trethewey said client managers like seeing deadlines and fees on one page. She also said some people have drifted back to spreadsheets because they do not trust the fee numbers yet.
Commercial: Nicholas Pengelly said his worry is the cost, not the tool, and he will struggle to justify the same price without evidence of use. Roger Yeo said purchase approval takes a week or so.
Watch: Daniel Okafor promised options for a short training session for the client managers by the end of the week. The partners do not use the tool day to day, so the value case rests on the managers adopting it.

Transcript
- Daniel OkaforHi both, thanks for making the time. Give me a second, I'm just letting everyone in.
- Priya RamanAfternoon Daniel, loud and clear. Sorry, I was on another call right up until a minute ago, so I'm a bit frazzled.
- Jenny TretheweyHello, can you hear us? Nicholas is here, he's just getting his headphones sorted.
- Daniel OkaforBrilliant. Jenny, how's the team been? I know year end was a lot.
- Jenny TretheweyBusy. Everyone's chasing clients for paperwork, so we've all been living in the tool. Honestly it's good. The client managers say they can see deadlines and fees on one page, which is what we wanted.
- Priya RamanThat's great to hear. Right, shall we crack on? So we're clear on where we are: you're on Starter, fifteen seats, and the contract runs out at the end of September. I'd love to get the renewal signed before then so nothing lapses.
- Nicholas PengellyYes, that's the idea. Is it the same as last year? I'm not having the price go up without a reason.
- Priya RamanSame tier, same seats. The contracted figure is £19,500 a year, and that's what we'd be renewing at. If we can get it signed by Monday 8 Sep 2025, the new term starts on 23 Sep 2025 with no gap.
- Nicholas PengellyRight. And that's the all-in number?
- Priya RamanI'll put the exact breakdown in writing for you and Roger so you've got it on paper.
- Daniel OkaforI'll make sure of that. Can I check the usage side before we go further, because that's what I'd want in front of the partners? It's come down a little since the spring.
- Jenny TretheweyYeah, I've noticed. A few people have drifted back to the old spreadsheets. Not everyone, mind.
- Daniel OkaforThat's useful. How's the team finding it? Is it training, or do the people who've stopped just not need it day to day?
- Jenny TretheweyBit of both, I think. The juniors use it, the partners don't really. Some of the client managers still work from the spreadsheets because they don't trust the fee numbers yet.
- Daniel OkaforOkay. The fee numbers should be coming through nightly, so that's worth a proper look. Could we set up a short session for those managers? I'll come back to you by the end of the week with a few options.
- Nicholas PengellySensible. My worry is the cost, not the tool. If we can't show the partners it's being used, I'll struggle to justify the same price again.
- Priya RamanTotally fair, Nicholas. The honest answer is that the best protection for the renewal is the team using it more. I'm happy to make this easy for you, and if we can get it over the line early in September, the new year starts without a fuss.
- Roger YeoRoger here, sorry, I've only just got in. We'll need a purchase approval on our side, and that takes a week or so. Do you need the signed form back by a particular date?
- Priya RamanIdeally by Monday 8 Sep 2025, that gives you a clear margin. I'll send the order form over this afternoon.
- Daniel OkaforGive me a moment, I'm just going to look at the usage view while we talk. Sorry, bear with me.
- Daniel OkaforRight, sorry, I'm back. Priya, you were going to share the order form.
- Priya RamanSharing it now. It's the same terms as last year, with the new dates on the front.
- Roger YeoI see the figure at the bottom. Is that per year, or over the whole term?
- Priya RamanIt's per year, Roger. The contract is annual, paid in advance.
- Roger YeoOkay, that's what I thought. Just wanted to be sure before we get to the partners.
- Nicholas PengellyFine. So what would you need from us to sign?
- Priya RamanJust the signature on the order form, and a PO number if you use one.
- Nicholas PengellyWe'll get it done.
- Daniel OkaforLovely. Let me set up the training session. Jenny, are you the right person to pull the client managers together?
- Jenny TretheweyMe, I'd say. I'll gather the managers, but I'd like it short.
- Daniel OkaforShort is fine. Twenty minutes? Okay. I'll send you two or three times.
- Jenny TretheweyTwenty's good. Give me a couple of weeks to get everybody in one room.
- Daniel OkaforRight, I think we've covered it all. I'll send the summary today.
- Priya RamanPerfect. Thank you everyone. Happy to make this easy.
- Nicholas PengellyThanks all, speak soon.
- Roger YeoCheers, bye.
- Jenny TretheweyBye, thanks.
- Daniel OkaforBye, take care.
