What this says
As at Fri 9 Oct 2026Callie Brennan and Zoe Hocking worked on field mapping, credential expiry reminders and inactive client flags. Jenny Trethewey was absent. Zoe was cooperative, with a clean client list as the main task.
What happened: Callie took Zoe through mapping client names, using the legal name as key with the trading name as a second column. Credential reminders were set for a week before expiry, sent to Zoe and Jenny.
Customer view: Zoe called the reminder setup "exactly what I wanted". She expects the name clean-up to be slow because there are a few hundred clients, and found the mixed legal and trading names a pain.
Commercial: Nothing on price, renewal or rivals was raised. The call is routine onboarding for the subscription, with data quality as the dependency for search and chat.
Watch: Jenny missed the call, and the question of which clients have left the firm is open for her. Zoe needs to check fee records before the inactive flags are complete.

Transcript
- Callie BrennanHi Zoe, it's nearly lunchtime for some of us, so I'll keep this tight. Jenny sends her apologies, she's been pulled into a client meeting. The plan is the field mapping, then the credential reminders, then the export.
- Zoe HockingHi Callie. Yes, she said she might be late. Sorry, I'm on the admin screen. Can you see my screen?
- Callie BrennanI can, thank you. Let's start with the mapping. What I need from your side is the client names exactly as they appear in the practice system, not how the team writes them.
- Zoe HockingRight. So some are the full legal name and some are the trading name. That's going to be a pain.
- Callie BrennanIt's common. Keep the legal name as the key and add the trading name as a second column. That way the search will match either, and the duplicates drop out.
- Zoe HockingOkay. I'll do that. It might take me a while, there are a few hundred of them.
- Callie BrennanTake your time. Let's not rush it, a clean list is worth more than a fast one. Shall we look at the credential reminders while you do that?
- Zoe HockingYes. Go on. I'd like to know when they expire.
- Callie BrennanI've set the reminder for a week before expiry, sent to you and to Jenny. If it's ever going to lapse, you'll hear about it before the team does.
- Zoe HockingThat's exactly what I wanted. Thank you.
- Callie BrennanGood. Now, the old clients. Do you know which ones have left the firm?
- Zoe HockingMost of them, I think, but I'd need to check the fee records. Some have gone quiet but haven't formally left.
- Callie BrennanThen mark those as inactive rather than deleting them. We can exclude inactive records from chat. I'll note it as an open question for Jenny.
- Zoe HockingYes, that's sensible. I'll flag them in the export.
- Callie BrennanGood. So you've got the mapping, the inactive flags, and the export. I'll pick up the rest with Jenny. Thanks, Zoe. Speak soon. Thanks, Callie.
- Zoe HockingThanks Callie. Enjoy your lunch.
